Job Description

Position Summary The Executive Administrative Assistant provides administrative and operational support to ensure smooth daily office functions. This role requires exceptional technical proficiency in Microsoft Office products, especially Outlook, Word, Excel, PowerPoint, and Microsoft Copilot, and Quickbooks, along with strong attention to detail, professionalism, and the ability to manage multiple priorities efficiently. The role may involve the ability to work remote at times when it makes sense for the work required. We serve the electrical construction industry. Key Responsibilities
  • Manage calendars, email communications, meeting coordination, and office scheduling.
  • Prepare, format, proofread, and distribute correspondence, reports, presentations, and other documents to electrical contractor's staff and industry partners.
  • Use Excel to build, maintain, and analyze spreadsheets, including formulas, sorting, filtering, lookup functions, and basic reporting.
  • Use Microsoft Copilot to draft documents, summarize information, organize tasks, and streamline administrative workflows
  • Maintain organized digital and paper filing systems.
  • Assist with data entry, recordkeeping, invoice processing, and document tracking.
  • Support special projects and recurring administrative tasks as assigned.
  • Communicate professionally with staff, vendors, members, and external contacts.
  • Meet with high school counselors to improve recruitment to electrical apprenticeships Required Qualifications
  • High school diploma or equivalent required; associate degree preferred.
  • Demonstrated proficiency in Microsoft Word, Excel, Outlook, PowerPoint, and Microsoft 365 Copilot.
  • Strong Excel skills, including formulas, formatting, tables, filters, and spreadsheet organization.
  • Excellent written and verbal communication skills.
  • Strong organizational skills and the ability to work independently with minimal supervision.
  • High accuracy, discretion, and dependable follow-through.
  • Prior administrative, office support, or executive assistant experience preferred. Preferred Qualifications
  • Experience creating polished reports, templates, and presentations in Microsoft Office.
  • Comfort using AI tools responsibly to increase productivity and reduce repetitive work.
  • Familiarity with office processes, scheduling systems, or light bookkeeping.
  • Experience supporting a fast-paced professional or trade association environment.
Pay:
$22.00 - $28.00 per hour
