Position Overview Katranji & Nemeth Periodontics is seeking a highly organized, proactive, and resourceful Executive Assistant to serve as a trusted partner to the practice owners. This role goes beyond traditional executive support, you will help manage priorities, oversee projects, coordinate professional events, and ensure day-to-day operations run efficiently. The ideal candidate is a strategic thinker who enjoys bringing order to complexity, anticipating needs, and taking ownership of projects from start to finish. You are someone who can juggle multiple priorities, communicate professionally with executives, clients, vendors, and healthcare professionals, and thrive in a fast-paced, entrepreneurial environment. One of the most significant responsibilities of this role is planning and executing continuing education seminars and professional events. You will also assist with office operations and provide occasional personal assistant support to help maximize executive productivity. Primary ResponsibilitiesExecutive Support Manage complex calendars, scheduling, and meeting coordination. Prioritize competing commitments and proactively manage executive time. Coordinate travel, accommodations, and itineraries. Prepare correspondence, reports, presentations, and meeting materials. Track projects, deadlines, and follow-up items to ensure timely completion. Serve as a trusted point of contact for internal and external communications. Handle confidential information with professionalism and discretion. Seminar & Event Management (Core Responsibility) Plan, organize, and execute continuing education seminars and practice-sponsored events. Manage event timelines, budgets, vendors, venues, catering, audiovisual needs, and logistics. Coordinate attendee registration, communications, and post-event follow-up. Work with marketing partners to promote educational events. Ensure every event reflects the professionalism and reputation of the practice. Operations & Project Coordination Coordinate administrative projects and process improvements. Assist with day-to-day office operations and vendor management. Maintain organized systems, documentation, and workflows. Research solutions, coordinate implementation of new initiatives, and keep projects moving forward. Personal Assistant Support Provide occasional assistance with personal scheduling, travel, reservations, and administrative tasks. Handle sensitive matters with complete confidentiality and sound judgment. Qualifications 3+ years of experience supporting senior executives or business owners. Outstanding organizational and project management skills. Excellent written and verbal communication. Strong attention to detail and ability to anticipate needs. Proven ability to manage multiple priorities with minimal supervision. High level of professionalism, discretion, and confidentiality. Proficiency with Microsoft Office, Google Workspace, and scheduling software. Experience coordinating meetings, events, or conferences is highly preferred.
