Position Summary We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support company leadership in the daily operations of a fast-growing manufacturing organization. This role combines executive support, sales administration, customer relationship management (CRM), accounting assistance, and operational coordination to ensure the business runs efficiently. Success in this role requires exceptional organization, reliability, excellent communication skills, and a willingness to support multiple areas of the business while maintaining a positive, customer-focused attitude. Key Responsibilities Executive & Administrative Support Provide day-to-day administrative support to company leadership. Manage executive calendars, meetings, travel arrangements, and scheduling. Prepare correspondence, reports, presentations, and business documents. Track action items and remind management of critical deadlines and commitments. Coordinate internal meetings and maintain meeting notes when required. Organize digital files and maintain accurate company records. Sales Administration / Inside Sales Review and vet incoming sales inquiries to ensure they meet company requirements. Create customer records and opportunities within the CRM system. Create and maintain electronic project folders and organize customer documentation. Assist with preparing quotations, sales documentation, and contracts. Follow up with customers regarding quotations, documentation, and outstanding requirements. Coordinate with the sales team to ensure CRM records remain accurate and current. Accounting & QuickBooks Administration Process customer invoices using QuickBooks. Record and maintain Accounts Receivable and Accounts Payable transactions. Monitor outstanding receivables and assist with payment collections. Track vendor invoices and prepare payments. Calculate, track, and process sales commission payments. Reconcile records and maintain accurate financial documentation. Generate routine accounting and financial reports. Assist with month-end administrative accounting tasks. Office Operations Maintain organized filing systems and company records. Assist with purchasing office supplies and coordinating vendors. Support special projects and continuous improvement initiatives. Perform additional administrative and operational duties as assigned. Qualifications Associate or bachelor's degree preferred, or equivalent professional experience. 3+ years of experience as an Executive Assistant, Administrative Assistant, Office Manager, or similar role. Experience using QuickBooks. Experience with CRM software (Odoo, HubSpot, Salesforce, Zoho, Microsoft Dynamics, or similar). Strong proficiency with Microsoft Office, particularly Excel, Word, Outlook, and PowerPoint. Excellent written and verbal communication skills. Strong organizational and time-management abilities. Ability to prioritize multiple projects while meeting deadlines. High level of professionalism and discretion when handling confidential information. Strong attention to detail and accuracy. Self-motivated with the ability to work independently. Preferred Skills Manufacturing or industrial business experience. Sales support or inside sales administration experience. Basic bookkeeping or accounting knowledge. Experience managing customer documentation and project files. Familiarity with procurement processes. Ability to identify process improvements and increase operational efficiency.
