This role is vital in ensuring smooth daily operations, managing schedules, coordinating communications, and handling administrative tasks with efficiency and professionalism. The ideal candidate will thrive in a fast-paced environment, demonstrate exceptional organizational skills, and possess a proactive attitude to anticipate needs and streamline processes. Responsibilities Manage complex calendars, schedule appointments, meetings, and travel arrangements for executives with precision and attention to detail Handle incoming calls using multi-line phone systems, screen and direct inquiries professionally, ensuring excellent phone etiquette Prepare, proofread, and edit correspondence, reports, presentations, and other documents with accuracy and clarity Maintain organized filing systems both digitally and physically, ensuring quick retrieval of information Coordinate meetings by preparing agendas, taking minutes, and following up on action items to ensure timely completion Assist with data entry tasks using spreadsheets and productivity software such as Microsoft Office and QuickBooks for financial tracking and reporting Support office management functions including ordering supplies, managing office equipment, and overseeing general administrative operations Skills Exceptional organizational skills with the ability to prioritize tasks effectively in a busy environment Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with spreadsheets for data management Strong computer literacy including data entry, word processing, proofreading, and technical proficiency with office productivity software Excellent communication skills in both verbal and written forms; bilingual abilities are a plus for client interaction Demonstrated experience in office management or administrative support roles with clerical experience preferred Knowledge of QuickBooks or similar accounting software is advantageous for handling financial documentation Proven ability to manage multiple responsibilities simultaneously while maintaining high accuracy levels Strong time management skills coupled with the ability to adapt quickly to changing priorities Join us as an Executive Assistant and become a key contributor to our organization's efficiency!
