Job Description

Job Summary:
The mission of the New Hampshire SPCA is to save the lives of animals through rescue, rehabilitation, and adoption; to promote learning, eliminate animal cruelty, and be a leader in advancing the highest standards in animal welfare. The Executive Assistant & Administrative Coordinator is an energetic, dynamic, and detail-oriented individual who provides administrative support for agency programs and assists the President & CEO in supporting the Board of Directors, Board of Trustees, and the overall needs of the agency. Responsibilities:
Support for the President & CEO including: Assist with calendar coordination, meeting preparation & materials Oversees the preparation of monthly CEO reports to the Board of Directors Prepares on-boarding packets for new employees, Board and Trust members Ensures proper routing and filing of planned giving correspondence for the CEO Administrative support as needed Support for the Board of Directors, Trustees, and Committees Schedules all Board, Trustee and Committee meetings Assists with and attends monthly board meetings including meeting and agenda preparation, required materials, room or virtual preparation & hosting elements. Prepares and distributes board meeting minutes. Assists with all Board and Trustee committee meetings including meeting and agenda preparation, required materials, and subsequent documentation Maintains policies, draft correspondence and forms Ensures proper retention filing of board meeting materials Agency and Office Administration Daily mail pick-up, sorting, and distribution Drafts and mails certified letters Daily check scanning and bank runs Monitors all printers, toners, and office supplies for the administrative offices Point person for loaner equipment sign in/out and backup support for IT support Assists with staff-wide related and pillar events/activities Chairs the
Safety Committee:
o Coordinates quarterly meetings o Schedules safety walk-throughs and maintains safety checklists o Maintains injury reports, follow-up reports, processes claims, and OSHA Reports o Coordinates notification and documentation for bite incidents o Maintains first aid kit supplies & AED o Procures certificates of insurance as needed Program Support Assist the Program Managers with urgent program cancellations/notifications when appropriate. Additional program support may be requested on occasion Other Duties as assigned Requirements Highly organized and detail-oriented Excellent oral, written, and interpersonal leadership-level skills Strong customer service skills Computer literacy and proficient use of programs including Microsoft Office programs, AI note-taking, virtual meeting platforms, and other relevant databases. Work collaboratively across teams at the NHSPCA and cultivate positive working relationships with staff and volunteers Display good judgment, maintains high-level of discretion with regard to sensitive and confidential matters Cross-functional collaborator working with colleagues, volunteers, board members, in a supportive manner. Able to handle and manage multiple tasks, reprioritizing as needed. Schedule Monday-Friday, 40 hours/week. Some evening and weekend hours may be required. Potential for some remote hours.
