Role Summary The Executive Assistant provides high-level administrative and operational support to the executive leadership. This role ensures seamless executive operations by managing complex calendars, coordinating travel, preparing communications, and anticipating leadership needs. The position requires exceptional professionalism, discretion, organizational strength, attention to detail, and the ability to navigate a fast-paced, multi-location clinical environment with professionalism and accuracy. This position reports to the Chief Executive Officer. Key Responsibilities Deliver comprehensive administrative assistance to the Chief Executive Officer, including meeting preparation and set up, document drafting, and follow through on priorities. Assist additional clinic leaders with administrative needs, ensuring consistent support and operational flow across departments. Draft, edit, and distribute executive level communications with clarity and professionalism while maintaining strict confidentiality. Oversee complex, shifting calendars for multiple leaders, ensuring accurate scheduling, prioritization, and alignment across clinic sites. Arrange travel itineraries, lodging, transportation, and meeting logistics for leaders traveling to internal or external events. Greet and welcome all guests to the office. Coordinate and set up all catering for meetings and select events. Perform routine office duties such as mail handling, post office errands, supply management, and document processing with consistency and reliability. Provide confidential personal support to the Chief Executive Officer as needed, including task coordination, reminders, and logistical assistance. Coordinate information, documentation, and logistics across multiple clinic locations to keep leaders informed and prepared. May assist with expense reconciliation, invoice processing, and preparation of financial materials to support the Chief Financial Officer's fiscal responsibilities. Track deadlines, monitor progress on initiatives, and ensure timely completion of executive priorities.
