Position Summary We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support the CEO/President and Chief Strategy Officer. This role is primarily remote but requires occasional local errand support. The ideal candidate is a self-starter with excellent communication skills, strong judgment, and the ability to manage multiple priorities in a fast-paced environment while maintaining strict confidentiality. The Executive Assistant ensures seamless operations between company leadership and employees, C-suite executives and both active and prospective clients. This role serves as a critical liaison across all levels of the organization and plays a pivotal role in supporting strategic initiatives and driving the company's overall success. Essential Duties and Responsibilities The essential functions include, but are not limited to the following: Executive Support
- Manage complex calendars for the CEO/President and Chief Strategy Officer, including scheduling, rescheduling, and prioritizing meetings.
- Coordinate and follow up on meeting requests with internal leadership, C-suite healthcare executives, and external partners.
- Prepare meeting agendas, take detailed notes, and distribute summaries and action items.
- Track follow-ups to ensure timely completion of action items and deadlines. Communication & Correspondence
- Draft, send, and respond to internal and external communications on behalf of executives.
- Communicate professionally via email, phone, text, and video conferencing (e.g., Microsoft Teams).
- Serve as a liaison between executive leadership and internal teams or external stakeholders.
- Maintain professionalism and discretion in all communications. Administrative & Operational Support
- Prioritize and manage multiple projects simultaneously with minimal supervision.
- Organize and maintain digital files and records.
- Assist with preparing presentations, reports (including completing Executive expense reports), and executive materials.
- Support special projects as assigned. Local Errand Support (As Needed)
- Conduct bank runs with client checks.
- Pick up, prepare, and/or mail gifts to employees and clients.
- Handle occasional time-sensitive local tasks. Minimum Qualifications (Knowledge, Skills, and Abilities)
- Proven experience supporting senior executives (C-suite support preferred).
- Exceptional organizational and time management skills.
- Strong ability to prioritize competing demands in a fast-paced environment.
- Excellent electronic and verbal communication skills.
- High level of professionalism, discretion, and confidentiality.
- Ability to interact confidently with hospital executives, external partners, and internal leadership.
- Strong attention to detail and follow-through.
- Proficiency in Microsoft Office Suite and video conferencing platforms.
- Ability to work independently in a remote environment.
- Ability to reliably commute to Metairie, LA frequently. Preferred, Not Required
- Experience in healthcare or hospital administration.
- Experience coordinating with executive-level stakeholders.
- Experience working in an entrepreneurial setting.
- Project coordination experience.
