Duties Manage complex calendars, schedule meetings, and coordinate appointments for executives with precision and efficiency Handle multi-line phone systems, screen calls, and direct inquiries with professionalism and courtesy Prepare, edit, and organize documents using Microsoft Office Suite including Word, Excel (Spreadsheets), and PowerPoint to support various projects Conduct data entry and maintain accurate filing systems to ensure easy retrieval of information Assist with office management tasks such as supply ordering, equipment maintenance, and facility organization Provide exceptional customer service by addressing client inquiries promptly via phone or email and supporting front desk operations Support personal assistant responsibilities including travel arrangements, expense reporting, and calendar management for executives Requirements Proven experience as an Executive Assistant or in a similar administrative role with office management responsibilities Strong computer literacy with proficiency in Microsoft Office (Word, Excel, PowerPoint), data entry, and productivity software Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment Exceptional communication skills, both verbal and written; bilingual abilities are a plus Demonstrated experience with office equipment such as multi-line phone systems and fax machines Familiarity with QuickBooks accounting software is advantageous but not mandatory High level of professionalism, discretion, and attention to detail in handling sensitive information Ability to multitask efficiently while maintaining high standards of accuracy and timeliness Join us as an Executive Assistant to be a vital part of our team—helping us operate seamlessly while advancing your professional journey!
