Job Description
Role Overview:
The Executive Assistant II provides high ‑ level, specialized administrative support to the Market President (MP) of New Hampshire (NH). This role is responsible for managing complex executive support functions, including research, analysis, writing, information coordination, meeting support, and relationship management. The Executive Assistant serves as a trusted partner to executive leadership, exercising sound judgment, discretion, and professionalism while handling sensitive and confidential information.Work Arrangement:
Hybrid - The associate must be in the office at least three (3) days per week at our Manchester, New Hampshire location.Responsibilities:
Provide specialized and complex administrative support to the leadership team, including research, analysis, writing, and coordination of information and correspondence. Manage highly sensitive and confidential information, including strategic plans and executive documentation, while maintaining strict confidentiality protocols. Develop, review, and edit executive ‑ level presentations, reports, and documentation in collaboration with the leadership team. Maintain an in ‑ depth understanding of priorities, responsibilities, and organizational role to effectively manage time, scheduling, and access. Coordinate executive activities, including complex calendar management, travel arrangements, expense reporting, and associated logistics. Independently prioritize appointments and coordinate meetings with internal and external stakeholders. Anticipate executive needs and proactively resolve issues or independently manage matters as appropriate. Serve as the primary liaison for internal and external constituencies on behalf of the MP, including screening correspondence and phone calls and ensuring leadership is informed of matters requiring attention. Support in ‑ person and virtual meeting logistics such as conference space, catering, meeting agendas, maintaining confidential meeting materials, transcribing and distributing meeting minutes Prepare meeting reports, minutes, correspondence, presentations, organizational charts, and other required documentation. Provide administrative support to the MP vertical, including Directors, for organization ‑ wide initiatives. Collaborate closely with other executive assistants and administrative staff to ensure seamless executive coverage and continuity of support. Deliver exceptional customer service and communicate clearly and professionally with all levels of the organization. Continuously review operating practices and procedures and keep leadership informed of relevant changes. Maintain the highest standards of professionalism, discretion, and confidentiality in all interactions.Education & Experience:
Bachelor's degree or equivalent combination of education and relevant work experience. 5 years of experience providing executive ‑ level administrative support to leadership. Prior experience developing presentations for executive ‑ level audiences. Experience using Microsoft Visio to document workflows. Demonstrated experience using SharePoint for document management. Proven ability to identify issues, analyze information, and recommend effective solutions. Strong ability to plan, organize, and manage multiple priorities independently.Skills & Abilities:
Advanced proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, Visio, Teams, and Adobe. Exceptional written and verbal communication skills. Strong organizational skills with keen attention to detail. Ability to manage complex calendars and competing priorities in a fast ‑ paced environment. Excellent interpersonal, collaboration, and customer service skills. High level of professionalism with the ability to interact effectively with all levels of leadership.
