$52,000-$60,000 per year + performance bonus About the Opportunity Neill and Son Roofing is a growing Pittsburgh-area roofing and exterior contracting company building the people, systems and leadership infrastructure required for our next stage of growth. As our company has grown, so have the number of people, projects, decisions and opportunities that require executive attention. We are now creating a new Executive Assistant position to work directly alongside our CEO and help create the organization, follow-through and executive capacity needed to continue scaling the business. This is not a traditional administrative assistant position. We are looking for someone who can create structure around a fast-moving entrepreneur, take ownership of administrative execution, manage competing priorities, follow through on commitments, and eventually begin anticipating what needs to happen before being asked. The person who succeeds in this role will get significant exposure to how a growing company actually operates. You will work closely with our CEO and leadership team and gain visibility into sales, production, operations, finance, recruiting, strategy and the decisions involved in building a business. A Note From Our CEO I'm personally hiring for this position because the person who fills it will be working directly alongside me. I am an entrepreneur at heart. I enjoy building companies, developing people, creating systems, solving problems and turning ideas into real businesses. Right now, my primary focus is Neill and Son Roofing. We've reached an exciting stage where the business has grown significantly, our team has expanded, and we're continuing to build the leadership and infrastructure required for the next level. With that growth has come an increasing number of decisions, meetings, projects, commitments and responsibilities competing for my attention. That's why I'm creating this position. I'm looking for someone who can become a trusted extension of me professionally and someone who can help me stay organized, protect my time, keep priorities moving, follow up on commitments and gradually take ownership of more of the things that don't require me personally. I don't want someone who simply waits every morning for a list of tasks. I want someone who is curious, resourceful and proactive. Someone who notices when something needs attention. Someone who asks good questions, follows through and eventually begins thinking one or two steps ahead. You do not need to know everything on Day 1. I expect to invest time into teaching the right person how I operate, how Neill and Son Roofing operates and how we make decisions. What I do expect from Day 1 is a willingness to learn, personal accountability, organization, confidentiality and a genuine desire to grow. While Neill and Son Roofing is the primary focus of this position, I'm also an entrepreneur with the ability and intention to continue creating and developing businesses and opportunities over time. For the right person, that means this role can provide exposure to much more than traditional executive administration. I want someone who is excited by that journey. I can't tell you exactly what this position will look like several years from now because I expect the company, my responsibilities and the person we hire to evolve. What I can tell you is that increased trust, capability and performance will create opportunities for increased responsibility. What You'll Own As Executive Assistant to the CEO, you will help create organization and execution around the CEO's priorities.
Your responsibilities will include:
Managing the CEO's calendar, meetings and scheduling Organizing priorities, commitments, projects and deadlines Protecting focused time and helping prioritize incoming requests Coordinating recruiting activities, candidates and interviews Preparing leadership meetings, agendas, reports and scorecards Documenting decisions, commitments, action items, owners and due dates Following up on outstanding commitments and deadlines Coordinating communication with managers, vendors, professional partners and outside organizations Organizing documents, information and executive projects Gathering and organizing information needed for executive decisions Identifying administrative work that should be removed from the CEO Assisting with special projects across sales, production, operations, finance and leadership Helping create systems and processes as new needs arise Maintaining strict confidentiality regarding company, ownership, personnel and financial information As trust develops, the expectation is that you will move from simply responding to requests to anticipating needs, identifying problems and helping keep important priorities moving without constant direction. What We're Looking For You may be a strong fit if you: Are extremely organized and have a personal system for making sure things don't get forgotten Naturally follow through without needing to be reminded Take ownership instead of waiting to be told exactly what to do Can manage multiple competing priorities without becoming overwhelmed Have strong judgment about what is urgent, what can wait and what requires executive attention Communicate professionally and confidently with different personalities Are comfortable following up with people and holding them to commitments Are resourceful and try to solve problems before escalating them Learn new technology and systems quickly Pay close attention to details Can be trusted with highly confidential information Are comfortable working directly with a fast-moving entrepreneur Enjoy creating order where there are a lot of moving pieces Want responsibility and professional growth rather than simply another administrative job Previous Executive Assistant experience is helpful, but it is not required. Strong candidates may also come from project coordination, office management, operations coordination, administrative leadership, construction, home services or other fast-paced businesses. We care more about your ability to think, organize, communicate, learn, take ownership and execute than having the perfect previous job title. The initial objective is clear:
become an exceptional Executive Assistant to the CEO and create meaningful executive capacity. From there, the path will depend on your strengths, performance, interests and the needs of the company. Potential future opportunities could include senior executive support, executive operations, production operations, assistant general management or another leadership path within a growing organization. There may also be opportunities over time to gain exposure to additional businesses and entrepreneurial ventures created or developed by our CEO. We do not promise promotions based on tenure. We create opportunities based on performance, capability, trust and ownership. Compensation $52,000-$60,000 base salary depending on experience Performance bonus opportunity Benefits based on company benefit programs Career development and advancement opportunities Direct exposure to the leadership and operation of a growing company What Success Looks Like Within the first 90 days, we expect the person in this role to be independently managing a significant portion of the CEO's administrative workload, maintaining visibility over key commitments and deadlines, coordinating recruiting activities, supporting leadership meeting execution and giving the CEO meaningful time back to focus on leadership and company growth. Over time, success becomes even simpler to measure: Are important things getting done without the CEO having to personally remember, organize and follow up on everything?
