Job Description

Marcy Engineering is a small, established and rapidly growing engineering firm looking for an exceptional Executive Assistant to the President. Over the past five years, our business has grown 5x and we are accelerating.

We are at an exciting stage: established enough to offer stability, but still small enough that the right person can have a meaningful impact on how the company operates and evolves. This is not a traditional administrative support position. We are looking for someone who can become a trusted right hand to our President; who has built the company from scratch. You will work alongside him as we enter our next stage of growth. You will have the opportunity to learn the business from the inside, take ownership of important day-to-day responsibilities, bring greater organization and structure to our operations, and assume increased responsibility as the company expands. As the business continues to grow, this role has the potential to develop into a broader operations and management position, including overseeing additional administrative and support staff. What you'll do: You will work closely with the President to manage priorities, communication, scheduling, administrative responsibilities and the day-to-day organization of the business. The role goes far beyond keeping a calendar and managing an inbox. The ideal candidate notices what needs to be done, creates organization where it's needed, follows through, solves problems and helps make the President and the entire company more efficient. Keep the President on track Triage and manage his inbox — surface what matters, handle routine replies in his voice Own his calendar — schedule, confirm, and reshuffle meetings without being asked Track his to-dos and commitments, and chase them to done Move the business forward Get proposals out the door fast — start them, populate client info, keep them moving Run new-project kickoffs (set up files, tools, and systems for each job) Keep our CRM and contact records clean and current Take standup notes, turn them into tasks, and keep project pages updated Project Management and Own permit filing Provide scheduling and project organization support. Prepare and submit building permit filings using our documented step-by-step process Track applications, objections, and push permits to approval Coordinate the rest Make sure marketing, recruiting, and bookkeeping happen by handing our specialists and contractors what they need and following up, not by doing it all yourself Who you are: Energetic, organized, proactive, a fast learner, tech savvy, a team player Minimum 2 years in an office / administrative / coordinator role

  • priorities shift; you keep the important things from falling through Trustworthy
  • you'll get access to the founder's inbox, calendar, and spending authority Proactive
  • you spot what needs doing and do it before being asked Comfortable with modern software (we use Google Workspace, Airtable, Notion, PandaDoc, QuickBooks, and more) and quick to learn new tools, especially AI tools (we're big on Claude Cowork and Code) No engineering background required.
Nice to have:
Experience supporting a founder or executive.
