About Company UniPack Solution Inc. is a rapidly growing foodservice packaging company specializing in PET cups, lids, containers, and customized disposable packaging solutions. With direct manufacturing capabilities in China and expanding U.S. distribution and printing operations in New Jersey and Los Angeles, we serve distributors, restaurant suppliers, coffee chains, and foodservice businesses nationwide. We are seeking a highly organized, execution-driven, and business-oriented Executive Assistant / Executive Operations Assistant to work directly with the company president and leadership team. This is not a traditional administrative assistant role — this position plays a key role in supporting daily operations, sales coordination, trade show execution, financial tracking, and cross-functional business management. About the Role This role is ideal for someone who wants exposure to executive-level business operations, multi-location coordination, sales support, and strategic business execution in a growing international company. The position offers significant growth opportunities as the company continues expanding its U.S. operations and manufacturing footprint. Key Responsibilities Executive & Business Operations Support Work directly with the President on daily operational coordination and execution Organize and maintain internal operational reporting systems Prepare summaries, reports, spreadsheets, and operational updates Assist with contract organization, documentation management, and business records Track critical tasks, deadlines, and follow-up items across departments Support internal communication between U.S. operations, suppliers, customers, and warehouse teams Sales Operations & CRM Coordination Maintain and update customer and distributor databases Organize sales leads, prospect information, and follow-up schedules Prepare Excel tracking sheets for customers, quotations, and sales activities Coordinate trade show lead collection and organize customer information for the sales team Track customer communication progress and assist with follow-up coordination Support commission tracking and sales reporting when needed Trade Show & Business Travel Coordination Coordinate trade show preparation and execution across the U.S.
Arrange:
Hotel bookings Flights Rental cars Show schedules and logistics Coordinate exhibition materials and booth preparation Manage shipment logistics for trade show materials and samples Organize and prepare customer/prospect lists for exhibitions Create structured Excel lead sheets for post-show sales follow-up Operational Coordination Support Support warehouse and operations management teams when needed Assist with: Inventory planning Refill planning Production scheduling coordination Internal operational communication Coordinate with warehouse managers regarding inventory reports and operational planning Support future printing production coordination as company operations expand (
Note:
This position does not directly manage warehouse labor or forklift operations.) Accounts Receivable & Payables Tracking Track customer invoice payment status Monitor outstanding receivables and payment timelines Assist with vendor invoice organization and payment tracking Coordinate with customers regarding payment confirmations when needed Maintain organized AR/AP tracking spreadsheets and reporting systems Support cash flow visibility through organized financial tracking Administrative & Executive Coordination Manage executive scheduling and meeting coordination Prepare meeting notes and follow-up task lists Coordinate important calls, appointments, and travel schedules Help prioritize and organize daily executive workflow Assist with special operational and strategic projects assigned by leadership Qualifications Bachelor's degree preferred Strong organizational and multitasking ability High proficiency in Microsoft Excel and Microsoft Office Strong communication and coordination skills Ability to work in a fast-paced operational environment Detail-oriented with strong execution capability Professional business communication skills Ability to handle confidential business information responsibly Preferred Qualifications Experience in logistics, distribution, manufacturing, foodservice, or supply chain industries Experience supporting executives or operations teams Familiarity with CRM systems and operational tracking Chinese bilingual ability is a strong plus Experience with trade show coordination is preferred Compensation 7 Days PTO Performance growth opportunities Long-term advancement potential within a rapidly growing company
Pay:
$50,000.00 - $60,000.00 per year
