We partner with many of the industry's top manufacturers, retailers, and designers by delivering innovative products and exceptional service. Position Overview We are seeking someone with a great attitude who enjoys organization and is exceptionally reliable, attentive and detail-oriented. This Personal Executive Assistant will support a busy executive and family, primarily with personal organization and follow-up, along with some business-related responsibilities. The position is ideal for someone who takes ownership, keeps track of details and consistently follows tasks through to completion. Responsibilities will vary, and the position will naturally develop over time as the assistant learns the family's routines, priorities and preferred ways of working. -- Personal and family support- Maintain personal and family calendars, schedules, reminders and task lists.
- Arrange personal and family travel, including flights, hotels, transportation, itineraries and supporting details.
- Help organize travel documents, packing lists, reservations and schedule changes.
- Manage packages, shipping, product returns and exchanges.
- Coordinate laundry, dry cleaning and other occasional personal errands.
- Purchase groceries, household supplies or other items when needed.
- Research products and services, compare options and make recommendations.
- Help organize family events, appointments and other commitments.
- Track open items and provide clear updates until everything is resolved.
Role clarification:
This is not a household-based position or a primary childcare role. The assistant will not regularly work from the family's home but should be comfortable stopping by periodically to collect or deliver packages, handle returns and provide other practical support. -- Home and vendor coordination- Schedule appointments with contractors, HVAC providers, repair professionals and other home-service vendors.
- Meet vendors at the residence when necessary and communicate the requested work.
- Monitor appointments or projects and document relevant information.
- Report back clearly on progress, costs, decisions, delays and next steps.
- Follow up with vendors until work is completed properly.
- Maintain organized records of estimates, invoices, warranties and service information. -- Executive and business support
- Organize priorities, reminders, documents and follow-up items.
- Schedule occasional meetings and assist with business-related logistics.
- Help manage packages, samples, presentations and administrative tasks.
- Become generally familiar with the company's work in the fabric, textile and furniture industries.
- Assist with customer, product-development and vendor follow-ups when requested.
- Handle confidential personal, family and business information with complete discretion. -- Work arrangement
- Work remotely when responsibilities allow.
- Drive locally throughout Chicago's northern suburbs.
- Periodically stop at the family's residence for packages, errands, vendor appointments or other specific needs.
- Work several days or partial days from the new Northbrook office beginning in 2027. The beginning will require patience, communication and an investment in learning how to provide the most effective support. As trust and familiarity develop, the assistant will take greater ownership of recurring responsibilities and follow-up. -- Ideal qualifications
- A positive attitude and genuine enjoyment of organization.
- Experience as a personal assistant, executive assistant, family assistant, household coordinator or in a similarly detail-oriented role.
- Exceptionally organized and able to keep track of many small responsibilities.
- Focused, dependable, attentive and accountable, with strong and consistent follow-through.
- Proactive about identifying next steps and resolving open issues.
- Strong written and verbal communication skills.
- Comfortable working independently and providing concise, accurate updates.
- Professional and confident when communicating with vendors and contractors.
- Comfortable using calendars, email, spreadsheets, shared lists, travel websites and online ordering tools.
- Valid driver's license, reliable vehicle and willingness to drive locally.
- Willing to complete appropriate reference and background checks.
