About the role We are seeking a highly organized and proactive Executive Administrator to support the Senior Project Executive and the leadership team in a fast-paced office and construction environment. This role serves as a trusted administrative partner responsible for managing schedules, communications, travel, meetings, and day-to-day executive support activities. The ideal candidate is detail-oriented, adaptable, and comfortable working both in a corporate office setting and on active project sites. This individual must demonstrate professionalism, discretion, strong organizational skills, and the ability to anticipate executive needs while managing multiple priorities with efficiency and accuracy. Responsibilities Executive Support Provide comprehensive administrative support to the Senior Project Executive and Project Executive. Manage complex calendars, scheduling, and meeting coordination across multiple stakeholders and locations. Coordinate travel arrangements, itineraries, accommodations, and expense reporting. Prepare and organize meeting materials, presentations, agendas, and executive correspondence. Screen and prioritize communications, calls, and meeting requests on behalf of executives. Maintain confidential information with a high level of professionalism and discretion. Administrative Operations Organize and maintain electronic and physical filing systems, records, and executive documents. Coordinate office logistics, supplies, and administrative needs for executives and visiting stakeholders. Assist with invoice processing, expense submissions, and administrative tracking activities. Support preparation of reports, presentations, and executive summaries. Handle document formatting, data entry, and record management tasks. Site Administrative Support Provide administrative support during site visits and field meetings. Coordinate logistics for executive visits to project locations. Support meeting scheduling and administrative needs for field leadership interactions. Assist with visitor coordination, site access documentation, and related administrative tasks as needed. Serve as an administrative liaison between office personnel and site teams. Communication & Relationship Management Serve as a professional point of contact for internal and external stakeholders. Facilitate communication and information flow between executives, office staff, contractors, and vendors. Support leadership with follow-up items, reminders, and administrative organization. Help ensure executives are fully prepared for meetings, travel, and engagements. General Administrative Support Support special events, leadership meetings, and team functions. Assist with ad hoc administrative projects and executive requests. Identify opportunities to improve administrative workflows and organizational efficiency. Experience 3-5 years of executive assistant, executive administrator, or senior administrative support experience. Experience supporting senior leaders or executives in a fast-paced environment. Exceptional organizational and time management skills. Strong written and verbal communication abilities. Advanced proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams). The actual salary offered may vary based on relevant factors as determined in the Company's discretion, which may include experience, qualifications, tenure, skill set, availability of qualified candidates, geographic location, certifications held, and other criteria deemed pertinent to the particular role.
