C-Suite Executive Assistant

Job Summary We are seeking a dynamic and highly organized C-Suite Executive Assistant to provide exceptional administrative support to our executive leadership team. This role is vital in ensuring seamless daily operations, managing complex calendars, coordinating projects, and facilitating effective communication across departments. The ideal candidate will thrive in a fast-paced environment, demonstrating proactive problem-solving, technical proficiency, and the ability to handle confidential information with discretion. Responsibilities Manages sensitive matters and maintains the strict confidentiality of the Executive Office. Composes and prepares confidential correspondence, reports and other complex documents on behalf of the CEO. Manages and prioritizes CEO's daily and long-term calendar. Independently schedules appointments and resolves scheduling conflicts. Screens incoming phone calls, emails, correspondence and responds independently when possible.
•Coordinates meetings between the CEO, Board of Directors, Senior Staff members and other business associates.
•Arranges complex and detailed travel plans and detailed itineraries, compiles documents for travel-related meetings, and accompanies supervisor when requested. Prepares expense reports and reconciles with receipts. Attends senior staff meetings, and other meetings as directed by the CEO. Prepares materials, such as agenda, slide decks, briefing packets, notices, and resolutions for board meetings. Attends key meetings to record minutes and track action items. Arranges programs, events/conferences by arranging for facilities, caterers, issuing information or invitations, coordinating speakers and controlling event budgets. Oversees special administrative projects and plans corporate events, such as, Shareholder meetings and events. Serves as primary contact for shareholder relations and shareholder base Functions as an autonomous, self managed assistant within limits of authority. Promotes a synergistic relationship between customers, employees and other divisions. Maintains appropriate personal development. Adheres to Company policies. Observes and enforces proper safety procedures. Exhibits a high level of personal organization and time management. Ensures timely completion of special projects and other duties as assigned. Maintains personal integrity at all times and in all matters. Appropriate and timely feedback to reporting leader. Perform other duties as assigned by reporting leader
Requirements Include:
Bachelor's degree in Business or equivalent, preferred. Minimum 4 years executive level administrative experience. Highly collaborative and willing to work in close partnership with Senior Leadership and Shareholders in all matters relating to the CEO's office. Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities. Ability to anticipate needs. Must be creative with an ability to work within an entrepreneurial environment. High level of good, strong judgment in a diversity of situations. Excellent oral and written communication skills, high degree of diplomacy. Ability to research, organize, and synthesize information and materials from multiple sources. Ability to maintain a high level of confidentiality, trust and privacy. Ability to remain calm under pressure. Advanced Microsoft Office and Google Workspace skills. Ability to meet project deadlines while adapting to immediate demands. Ability to handle multiple tasks at one time. Positive and effective customer service skills.
