Job Description

Peachtree Planning is a comprehensive financial planning firm committed to empowering individuals and businesses through personalized financial strategies and exceptional client service. We are seeking a highly organized, detail-oriented, and proactive Executive Administrative Associate to join our Brentwood office. This position serves as both an Executive Assistant to the firm's CEO and a primary point of coordination for the Brentwood office. The role combines executive support, office management, recruiting support, onboarding and offboarding coordination, firm reporting, and project support. The responsibilities associated with this position are intentionally broad and may evolve over time based on firm growth, team structure, individual strengths, and business needs. Key Responsibilities Executive Support Serve as an Executive Assistant to the firm's CEO. Assist with calendar management, scheduling, communications, meeting coordination, follow-up, and other executive priorities. Help organize and track priorities, deadlines, action items, and ongoing initiatives. Prepare and coordinate materials, communications, and information needed to support executive workflow. Exercise professionalism and discretion when handling confidential or sensitive information. Brentwood Office Management Serve as a primary point of contact for the day-to-day administrative needs of the Brentwood office. Greet and assist guests and maintain a professional and welcoming office environment. Manage incoming calls, correspondence, and general office communications. Maintain conference rooms, common areas, and other office spaces. Monitor office supply inventory and coordinate purchasing as needed. Coordinate facility needs, deliveries, office services, and vendor relationships. Support office meetings, events, and use of shared facilities. Coordinate office-specific phone, technology, equipment, and access-control needs with the appropriate internal teams and outside vendors. Firm Reporting Prepare, maintain, and distribute internal reporting for the executive team. Gather and organize information from multiple sources to support leadership and business decisions. Maintain accurate records and assist with tracking key initiatives, deadlines, and deliverables. Support additional reporting and administrative tracking needs as assigned. Project Management Support Collaborate with the Project Management Team as they plan and implement major firm initiatives. Assist with project communications, documentation, timelines, follow-up, and coordination among stakeholders. Help track outstanding items, responsibilities, and next steps. Support implementation of new processes and initiatives affecting the Brentwood office or broader firm. Onboarding & Offboarding Support the onboarding and offboarding of employees and financial professionals. Coordinate Brentwood-specific technology, equipment, phone, facility, and access-control requirements. Track required onboarding and offboarding steps and communicate with the appropriate internal departments, firm contacts, and outside partners. Help ensure new team members receive the resources, access, and information needed for a successful transition into the firm. Assist with the return, removal, or reassignment of access and firm resources during offboarding. Recruiting Support Support cold-source recruiting efforts using firm-provided job boards, recruiting platforms, and other approved resources. Identify and engage prospective candidates who may be a strong fit for opportunities within the firm. Assist with candidate outreach, communications, interview scheduling, and follow-up. Maintain accurate candidate information and track prospects through the recruiting process. Coordinate with firm leadership and other recruiting stakeholders regarding candidate activity, status, and next steps. Provide administrative support for additional recruiting initiatives as needed. Ideal Candidate Highly organized with strong attention to detail and consistent follow-through. Demonstrates strong time management, sound prioritization, and the judgment to triage competing requests while maintaining focus in a high-visibility, interruption-heavy environment. Proactive and comfortable identifying needs, solving problems, and taking appropriate initiative. Exercises sound judgment, professionalism, discretion, and appropriate boundaries when handling confidential information and competing demands. Excellent written, verbal, and interpersonal communication skills. Comfortable interacting professionally with executives, employees, financial professionals, candidates, vendors, guests, and outside partners. Able to work independently while collaborating effectively across teams. Adaptable and comfortable learning new systems, processes, tools, and responsibilities. Interested in developing a broader understanding of the financial services industry and growing with the firm. Qualifications Prior administrative or executive support experience preferred; experience in office management, recruiting coordination, project support, or a similarly fast-paced professional environment is a plus. Proficiency with Microsoft Office, AI productivity tools, and other workplace technology, with the ability to learn and apply new tools effectively. Bachelor's degree or equivalent professional experience preferred. Training & 90-Day Introductory Period The first 90 days of employment will serve as an introductory and training period. During this time, the Executive Administrative Associate will receive training and support from Peachtree Planning team members and subject-matter experts on the systems, processes, and responsibilities relevant to the position. The employee is expected to take full advantage of available training, ask questions, and develop proficiency in the responsibilities assigned to the role. Progress will be reviewed throughout the introductory period to assess development, identify additional training needs, and determine readiness to independently perform the core responsibilities of the position. Pay:
$55,000.00 - $60,000.00 per year
