Job Description:
Position Summary:
We are seeking a highly organized, business-mature, and professional Executive Administrative Assistant to support the CEO. This individual will serve as a business partner, ensuring the CEO's time, priorities, and communications are managed with precision and discretion. The ideal candidate is tech-savvy, detail-oriented, and able to operate independently in a fast-paced, high-performance in a corporate environment.
Key Responsibilities:
Self-starter to anticipate needs, proactively solve problems, and ensure time sensitive priorities stay on track Manage the CEO's complex calendar, scheduling meetings, prioritizing commitments, and resolving conflicts Track key initiatives, follow up on action items, and ensure deadlines are met Act as a liaison between the CEO and senior leadership, clients, and stakeholders Coordinate internal and external communications on behalf of the CEO with professionalism and confidentiality Support meeting preparation, including agendas, materials, and minutes Organize travel arrangements, itineraries, and expense reporting Prepare standard financial data and ad-hoc reports, create presentations, and executive-level documents Handle sensitive information with a high degree of discretion and integrity Continuously improve administrative processes and workflows Perform other duties as assigned
Qualifications:
7+ years of proven experience supporting C-level executives or senior leadership Ability to operate independently with minimal supervision Ability to anticipate needs and work proactively High level of discretion and emotional intelligence Strong business maturity and professional presence Excellent organizational, time management, and multitasking skills Comfortable working in a fast-paced, dynamic environment Excellent written and verbal communication skills Tech-savvy with strong proficiency in Microsoft Office Suite, including intermediate Excel skills. (Word, PowerPoint, Outlook calendar) Ability to create and manage presentations using PowerPoint or similar tools
Preferred Skills:
Experience using artificial intelligence (AI) tools to improve work efficiency, automate tasks, and enhance data-driven decision-making
Work Environment:
