Responsibilities:
Calendar & Schedule Management:
Strategically manage complex, frequently changing calendars; prioritize meeting requests and proactively resolve scheduling conflicts.Communication & Gatekeeping:
Serve as the primary liaison between executives and internal/external stakeholders. Screen and direct phone calls, emails, and visitors with professionalism.Meeting Coordination & Minutes:
Organize board meetings, executive retreats, and team syncs. Prepare agendas, compile presentation decks, take detailed minutes, and track follow-up action items.Travel & Expense Logistics:
Arrange detailed domestic and international travel itineraries (flights, lodging, ground transit). Compile and submit accurate monthly expense reports.Document & Project Support:
Draft, edit, and proofread correspondence, memos, reports, and presentations. Assist with tracking special projects and cross-functional deadlines.Information Management:
Maintain secure, organized digital and physical filing systems for confidential corporate records and sensitive personnel data.Working hours:
8:00 AM - 5:00PM Skills:
Education:
Bachelor's degree in Business Administration, Communications, or a related field.Adaptability:
Experience working in a rapidly scaling or fast-paced industry (e.g., Tech, Finance, Healthcare).Education:
