Job Description

Direct Flow Gutter Systems is a family owned gutter installation company that has served home builders across North Texas for 28 years. We are looking for a dependable and organized Office Administrator / Executive Assistant to help manage daily office operations and support company leadership. This role works closely with ownership and plays an important part in keeping the business organized, responsive, and running smoothly. The ideal candidate is detail oriented, proactive, and comfortable handling a variety of administrative tasks in a fast moving environment. Responsibilities Answer incoming phone calls and respond to emails from builders, vendors, and other customers Communicate with builders and crews regarding job timing, scheduling, and completion Prepare and send invoices, job paperwork, and basic reports Maintain organized job files, documents, and company records Assist with collecting payments and tracking outstanding invoices Enter job and customer information into company systems Help track project progress and keep daily operations organized Manage calendars and schedule meetings for company leadership Assist with email organization and follow up on important communications Help prepare documents, proposals, and presentations Coordinate meetings with builders, vendors, and partners Assist with research and gathering information when needed Help organize company files, contracts, and internal documentation Order office supplies and coordinate basic vendor needs Support ownership with general administrative tasks to keep operations running smoothly This job is for you if You enjoy staying organized and keeping things running efficiently You take pride in being reliable and following through on tasks You are comfortable communicating with builders, vendors, and customers You are proactive and like solving problems instead of waiting to be told what to do You can manage multiple tasks at once without getting overwhelmed You enjoy helping a growing company stay organized and move faster This job is not for you if You struggle with organization or attention to detail You prefer a slow paced environment with very repetitive tasks You do not like communicating with customers or handling phone calls You need constant supervision to complete your work You are uncomfortable working in a growing company where priorities can change Qualifications Strong organizational and time management skills Professional communication skills (phone and email) Basic computer skills including email, spreadsheets, and office software Reliable and dependable work ethic Administrative or office experience preferred but not required Compensation $18-$22 per hour Full-time position Monday through Friday (8:00 A.M. - 3:00 P.M.)
