Scouting America is seeking a detail-oriented and organized Executive Assistant to support the daily operations of our council office. This position provides administrative, operational, and program support while serving as a key resource for staff, volunteers, and community members. Essential Responsibilities Administrative Support Provide administrative support to council leadership and staff. Serve as backup for front desk reception and customer service. Coordinate meeting logistics, conference rooms, and facility reservations. Manage internal and external printing projects, including vendor pickups. Maintain organizational records and filing systems. Assist with employee onboarding activities. Prepare reports, operational dashboards, and administrative documentation. Communications Coordinate mass communications. Monitor social media accounts and respond appropriately to reviews and inquiries. Compile customer feedback reports. Manage incoming voicemail messages. Maintain Certificates of Insurance. Enter and maintain near-miss and property incident reports in Riskonnect. Program & Event Support Coordinate facility and property reservations. Manage trailer reservations, check-out/check-in procedures, and damage reporting. Process Campership applications, approvals, and payments. Support National Camp Accreditation Program (NCAP) and Black Pug event administration. Maintain Leader Guides and process calendar updates. Verify required training certifications, including: Safeguarding Youth Training (SYT) Introduction to Outdoor Leader Skills (IOLS) Basic Adult Leader Outdoor Orientation (BALOO) Track attendance and supply usage. Coordinate electronic flyer distribution. Prepare materials for council and district meetings, events, and activities. Qualifications Required High school diploma or GED. Administrative, executive assistant, or office support experience preferred. Proficiency in Microsoft Office (Word, Excel, Outlook, and PowerPoint). Strong organizational, communication, and time-management skills. Excellent customer service skills. Ability to prioritize multiple tasks while meeting deadlines. High level of professionalism, confidentiality, and attention to detail. Ability to work independently and collaboratively. Preferred Associate degree. Bilingual in English and Spanish. Experience with Microsoft Teams, SharePoint, CRM systems, event management software, and database platforms.
