Executive Assistant
Job Description
Overview The Executive Assistant provides high-level administrative and organizational support to the Owner and other members of the Fuse leadership team. This role serves as a trusted extension of leadership, helping manage communications, calendars, priorities, confidential information, meetings, and follow-up so leaders can remain focused on running and growing the business. This is not simply an administrative support role. The right person will have excellent judgment, discretion, confidence, strong organizational skills, and the ability to recognize what requires immediate attention, what can wait, what is confidential, and what needs to be escalated.
Additional Responsibilities:
Provide administrative support across the organization as needed and as bandwidth allows. Responsibilities may evolve based on business needs, leadership priorities, and the capacity of the role. Key Responsibilities Executive & Leadership Support Manage and coordinate calendars, meetings, appointments, travel, and other executive commitments. Monitor leadership priorities, deadlines, and follow-up items to ensure nothing falls through the cracks. Prepare meeting materials, agendas, information, and follow-up as needed. Provide administrative and organizational support to the Owner and other members of leadership. Serve as a professional point of contact for leadership when appropriate. Communication & Email Management Monitor and organize executive email and correspondence, identifying items that are urgent, important, routine, or require escalation. Draft, coordinate, and respond to communications as directed. Follow up with employees, clients, vendors, and other contacts to obtain information or ensure commitments are completed. Protect leadership's time by appropriately managing requests, interruptions, and competing priorities. Confidentiality & Discretion Handle confidential business, financial, personnel, client, and leadership information with the highest level of discretion. Recognize information that should remain confidential and maintain appropriate boundaries regarding executive information and conversations. Use sound judgment in determining when information can be handled independently and when it should be escalated. Organization, Follow-Through & Special Projects Maintain organized executive records, documents, calendars, and information. Track action items, deadlines, and commitments through completion. Anticipate needs, identify potential issues, and proactively bring solutions or concerns to leadership. Assist with special projects, leadership initiatives, company meetings, and other assignments as needed. Understand the difference between urgent, important, routine, and unnecessary. Know when to act independently, when to ask questions, and when to escalate. Protect confidential information without being reminded. Follow through until a task or commitment is complete. Communicate clearly, professionally, and assertively—even when conversations are uncomfortable. Stay ahead of leadership rather than constantly waiting for direction. Handle competing priorities with composure and good judgment. Take ownership of problems and work toward solutions. Qualifications & Skills 3+ years of experience as an executive assistant, administrative support, office management, or similar role. Experience supporting executives, owners, or senior leadership preferred. Exceptional organizational, prioritization, and time-management skills. Strong written and verbal communication skills. Excellent judgment, discretion, and attention to detail. Ability to manage confidential information appropriately. Comfortable communicating with employees, clients, vendors, and senior leadership. Ability to work independently with minimal supervision. Strong proficiency with Microsoft Office, Google Workspace, and other business technology. Bilingual English/Spanish is a plus.
