Job Description

We are seeking a highly organized, proactive, and =+ years of experience Executive Assistant to provide high-level administrative support to senior leadership. This individual will serve as a trusted partner to executives, managing complex calendars, coordinating meetings, facilitating communication, and overseeing a variety of administrative projects and operational initiatives. The ideal candidate is a resourceful detail oriented who anticipates needs, exercises sound judgment, and thrives in a fast-paced environment. This role requires exceptional attention to detail, strong communication skills, and the ability to manage multiple priorities while maintaining confidentiality and professionalism.

  • 5:30pm) Contract to permanent: 3 month contract period before conversion Essential Duties & Responsibilities Manage executive calendars, appointments, meetings, and scheduling priorities.
Monitor executive communications, prioritize inquiries, and route information appropriately. Serve as a gatekeeper and primary administrative liaison for executive leadership. Prepare meeting agendas, capture meeting notes, and track action items to completion. Coordinate travel arrangements, itineraries, and event logistics. Support leadership with presentations, reports, correspondence, and document preparation. Maintain organizational charts, executive documentation, and administrative records. Coordinate conference room scheduling, meeting setups, catering, and hospitality arrangements. Track contracts, agreements, and renewal deadlines while ensuring appropriate follow-up. Assist with vendor coordination and administrative project management. Support company meetings, leadership events, sales summits, and other special projects. Identify opportunities for process improvements and help implement administrative efficiencies. Collaborate cross-functionally with departments across the organization to ensure effective communication and execution of priorities.
