As we continue to scale the organization, we are seeking an Executive Assistant who can perform highly complex professional executive assistance work supporting the TXCC Chief (the agency head) and other executive leadership, as assigned. In this position, work involves coordinating high-level administrative operations, managing sensitive and confidential information, preparing and routing communications, maintaining schedules and priorities, and serving as a professional point of contact with agency staff, government officials, external partners, and other high-level contacts. The ideal candidate is able to work under minimal supervision, with extensive latitude for initiative and independent judgment.
Essential Job DutiesCalendar, Meeting, Travel, and Expense CoordinationCoordinates executive calendars, daily schedules, meetings, interviews, appointments, conferences, speaking engagements, conference calls, and related logistics. Maintains calendars, prepares daily agendas, prioritizes requests, resolves scheduling conflicts, and makes recommendations to support effective use of executive time. Arranges and confirms travel and accommodation logistics, including lodging, transportation, conference attendance, itineraries, travel instructions, and related documentation. Coordinates travel changes and time-sensitive logistics, including issues that may occur outside standard business hours. Prepares, reviews, routes, and tracks travel vouchers, mileage reports, expense reports, reimbursement documentation, and related approval materials.
Executive Administrative SupportPerforms complex executive administrative support work for the Agency Head and other executive staff. Provides day-to-day assistance with sensitive and confidential administrative matters, using discretion, sound judgment, and professionalism. Creates, updates, formats, reviews, and maintains executive office documents, spreadsheets, presentations, files, databases, records, and related materials. Provides administrative support to division directors, executive staff, agency personnel, and other division functions as needed. Assists with general office support tasks, including large-volume mailings, receiving and routing materials, filing, records maintenance, and related administrative activities.
Executive Communications, Correspondence, and Public ContactServes as a professional point of contact for the executive office. Greets visitors, receives and screens calls, takes messages, routes inquiries, and assists internal and external contacts as appropriate. Composes, reviews, proofs, tracks, and distributes executive correspondence and communications, including letters, memoranda, meeting notices, agendas, reports, special papers, briefing materials, and related documents. Prepares and disseminates executive-level materials for meetings, conferences, speaking engagements, and agency business. Communicates objectives, tasks, decisions, and administrative information to staff on behalf of the Agency Head or executive staff as directed.
Administrative Practices, Office Operations, and Team/Project AssistanceProvides input and administrative support related to the review and revision of executive office administrative practices, procedures, standards, and methods. Assists with communicating established executive office procedures and practices and provides general guidance to staff regarding routine administrative processes. Coordinates interdivisional administrative support activities, promotes team concepts, assists with cross-training, and works with other support staff to promote efficient and consistent administrative operations. Maintains oversight of executive office supplies, equipment, and related resources; prepares requisitions for supplies and services. Assists with projects, activities, special assignments, and administrative initiatives as needed.
Qualifications:
Minimum QualificationsGraduation from an accredited four-year college or university with major coursework in business administration or related field, orFour (4) years of progressively responsible experience performing advanced administrative or office management work, including administrative or executive-level support to executive, upper management, or project management staff.Acceptable SubstitutionsRelevant education and/or experience may be substituted for one another on a year-for-year basis.
Preferred QualificationsExperience providing administrative support in a State of Texas agency.
Knowledge, Skills, and AbilitiesKnowledge of modern office practices, procedures, communications, equipment, and administrative support methods.
Knowledge of State of Texas administrative procedures, methods, principles, practices, and applicable legislative or legal protocols.
Knowledge of accepted business practices and procedures, including applicable rules, regulations, policies, and agency administrative processes.
Knowledge of basic cybersecurity terms, concepts, and practices related to the use of office technology, records, communications, and confidential information.
Skill in the use of computers, standard office equipment, and applicable software necessary to perform work assignments, including Microsoft Office, word processing, spreadsheets, presentations, and related business applications.
Skill in preparing, reviewing, proofreading, formatting, editing, and tracking written documents, including business correspondence, memoranda, reports, agendas, presentations, and related materials.
Skill in using proper business English, grammar, spelling, punctuation, formatting, and business terminology in verbal and written communications.
Skill in coordinating work assignments, managing concurrent tasks, organizing priorities, solving problems, analyzing and preparing pertinent data, and producing accurate work under deadlines.
Ability to communicate effectively, clearly, concisely, courteously, tactfully, and diplomatically with agency leadership, staff, state leadership, members of the legislature, and internal and external customers.
Ability to exercise sound judgment, discretion, professionalism, punctuality, and confidentiality in handling sensitive information, high-level administrative matters, and executive office communications.
Ability to effectively interpret policies, procedures, and regulations and provide routine guidance to others regarding established administrative processes.
Ability to work independently and as part of a team; establish and maintain effective working relationships; support a cohesive team environment; follow and convey oral and written instructions; and work under pressure or a flexible schedule, including overtime, evenings, and weekends when necessary.
