Job Description

Job Overview We are seeking a dynamic and highly organized Executive Assistant to join our team and provide exceptional administrative support to senior leadership. Ideal candidate will have Gas Station or Real Estate expereince. This vital role ensures smooth daily operations, manages complex schedules, coordinates projects, and handles a variety of clerical tasks with professionalism and efficiency. The ideal candidate will thrive in a fast-paced environment, demonstrate excellent communication skills, and possess a proactive attitude to anticipate needs and streamline processes. Responsibilities Manage and maintain executive calendars, schedule meetings, appointments, and travel arrangements using Microsoft Outlook Calendar and Google Workspace. Prepare, proofread, and transcribe documents, reports, presentations, and correspondence with precision and attention to detail. Coordinate projects by tracking deadlines, organizing resources, and ensuring timely completion through effective communication with team members. Handle incoming calls with professional phone etiquette on multi-line phone systems; screen and direct inquiries appropriately. Organize events, meetings, and conferences including venue booking, catering arrangements, and logistical planning. Oversee office management tasks such as filing, data entry, bookkeeping using QuickBooks, and maintaining office supplies inventory. Provide personal assistance to executives by managing confidential information, performing personal errands when necessary, and supporting overall administrative needs. Requirements Proven experience as an executive assistant or in a similar administrative role with strong office management skills. Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment. Proficiency in Microsoft Office Suite (Word, Excel PowerPoint), Google Workspace applications, and data entry tools. Strong typing skills along with transcription and proofreading abilities for high-quality document preparation. Experience with bookkeeping software such as QuickBooks; familiarity with DocuSign for electronic signatures is a plus. Exceptional communication skills including phone etiquette; ability to interact professionally with clients, vendors, and team members. Demonstrated ability to handle confidential information discreetly while maintaining high levels of accuracy in clerical tasks.
