Position Overview:
Executive Assistant to the Director of Operations Bay Metals & Fabrication is seeking a highly organized, proactive, and dependable Executive Assistant to the Director of Operations to support the day-to-day coordination and administrative needs of our Operations team. This is a high-accountability role for someone who is comfortable working in a fast-paced environment, managing competing priorities, following up with others, and making sure important information and action items do not fall through the cracks. The Executive Assistant will work closely with the Director of Operations as well as Programs, Production, Quality, Safety, Finance, Contracts, and other BMF departments. What You'll Do Provide administrative and organizational support to the Director of Operations. Track action items, commitments, deadlines, and follow-up across the organization. Prepare daily and weekly information for the Director, including upcoming priorities, outstanding actions, project updates, and items requiring attention. Manage the Director's calendar, meetings, reminders, agendas, and meeting materials. Take meeting notes, document action items, and follow up with responsible individuals. Coordinate with Project Managers, Production leadership, and other departments to collect needed information and status updates. Track project milestones, customer commitments, operational concerns, and overdue actions. Assist with documenting and following up on issues identified during jobsite visits. Prepare professional correspondence, reports, presentations, Excel trackers, and other administrative materials. Maintain organized SharePoint folders and operational documentation. Help route questions and information to the appropriate department or manager. Follow up professionally with employees and managers to obtain information and keep commitments moving. Handle confidential company, employee, customer, financial, contractual, and leadership information with discretion. What We're Looking For The ideal candidate is someone who is organized, proactive, detail-oriented, and comfortable taking ownership of follow-up. You should be able to work independently, communicate professionally with people at all levels, and recognize when an issue needs to be escalated.
Required qualifications:
Experience in executive administrative support, operations coordination, project coordination, or a similar high-accountability environment. Strong organizational and follow-up skills. Ability to manage multiple priorities in a fast-paced environment. Strong written and verbal communication skills. Professional judgment and discretion. Ability to work effectively with executives, managers, customers, subcontractors, and employees. Proficiency with Microsoft Outlook, Word, Excel, PowerPoint, Teams, and SharePoint. Ability to develop and maintain trackers, reports, and administrative systems. Ability to work independently and use good judgment when priorities change. Ability to handle confidential and sensitive business information. Preferred Qualifications Previous Executive Assistant, Executive Operations, Program Coordination, or Project Coordination experience. Experience supporting a Director, Vice President, COO, President, or similar executive leader. Experience in ship repair, shipbuilding, defense contracting, industrial construction, manufacturing, or another project-based operational environment. Familiarity with U.S. Navy ship repair terminology and processes. Experience with project schedules, budgets, action registers, or operational performance metrics. Experience with Microsoft 365, SharePoint, Power Automate, Power BI, or similar workflow and reporting systems. Experience handling CUI or other controlled business information. Work Environment & Requirements This position regularly operates in both an office and industrial/shipyard environment.
The successful candidate must:
Be able to obtain and maintain required access to area shipyards, naval installations, and military bases as necessary to perform the duties of the position. Be able to travel to shipyards, customer locations, and BMF office trailers for meetings, jobsite visits, and operational activities. Successfully complete an OSHA 10-hour safety training course as required. Be able to work safely in an active shipyard and industrial environment. Be able to wear required personal protective equipment (PPE), including steel-toed safety boots, hard hat, safety glasses, and hearing protection. Follow all applicable BMF, customer, shipyard, and military installation safety and access requirements. What Success Looks Like In this role, you'll help the Director of Operations spend more time leading, solving problems, developing the organization, and supporting our customers by ensuring information is organized, priorities are clear, and commitments are followed through.
