Job Description

Position Description Executive Assistant / Personal Assistant We are seeking a highly organized, proactive, and detail-oriented Executive Assistant / Personal Assistant to support a range of operational, administrative, and logistical activities across multiple business functions, including property and farm management, and office-based work. This role requires someone who can manage diverse responsibilities, operate independently, and maintain strong attention to detail in a fast-paced environment. The position is based in Floyd, VA, with regular responsibilities in Blacksburg, VA. The role supports the CEO. Key Responsibilities
  • Manage and fulfill online orders and coordinate local pickups and deliveries
  • Track inventory of products, supplies, and materials across operations
  • Place, monitor, and follow up on orders for supplies, equipment, and materials
  • Ensure timely receipt and proper handling of deliveries, including temperature-sensitive items
  • Coordinate with vendors and contractors for ongoing operations and special projects
  • Identify new vendors, obtain quotes, and track project timelines and deliverables
  • Support execution of operational and property management-related projects, including coordination and follow-through
  • Assist with maintaining organized records, spreadsheets, and digital archives
  • Support documentation and administrative processes, including registrations, compliance-related paperwork, and internal records
  • Coordinate scheduling with external service providers and partners
  • Assist with invoicing, payments, expense tracking, and basic financial documentation
  • Draft, review, and organize communications, reports, social media, and operational documents
  • Check and manage incoming mail and deliveries and ensure appropriate distribution or action
  • Support general organization and upkeep of office and operational spaces
  • Manage calendars, schedule meetings, and coordinate logistics across multiple entities
  • Assist with travel planning and related logistics
  • Coordinate document preparation, signatures, and record-keeping
  • Track action items and ensure timely follow-up on tasks and commitments Required Qualifications 3+ years of experience in executive assistance, operations, or administrative support Strong organizational and multitasking skills Excellent communication and attention to detail Ability to work independently and take initiative High level of professionalism and discretion Comfortable working across both office and field-based environments Valid driver's license and reliable independent transportation
