By eliminating third-party payors like insurance and government entities, we focus on fostering a pure patient-physician relationship. This allows us to deliver tailored healthcare services with a greater focus on the needs of our patients. Our mission is to help individuals reverse chronic conditions, achieve their health goals, and regain confidence in their bodies. Based in Gig Harbor, WA, we provide care that prioritizes time, trust, and transformative results. Role Overview We are seeking a high-level, ultra-adaptable Executive Assistant to partner with our Physician/Owner as their true right-hand person. In this role, you will act as the ultimate gatekeeper, managing administrative operations, streamlining clinical workflows, and driving the clinic's marketing initiatives. This is not a passive administrative role. We need a professional, business-minded self-starter who can hit the ground running with minimal supervision and has the drive to do whatever it takes to move the needle forward. You will also serve as our primary backup, ready to seamlessly step in and cover our front desk whenever needed. You don't wait to be told what to do. You anticipate needs, solve problems on the fly, and thrive under minimal supervision.
Core Responsibilities Physician's Right Hand & Calendar Management:
Take full ownership of the physician's inbox and schedule. Act as the primary gatekeeper for staff, vendors, and non-clinical patient communications to protect the physician's time.
Clinic & Patient Coordinator Coverage:
Serve as the ultimate utility player. You must be willing and able to step in and cover the Patient Coordinator role when needed, greeting patients, answering phones, and managing front-of-house operations with grace and professionalism.
Workflow & Clinical Coordination:
Partner with clinic staff to triage patient inquiries, draft responses, and ensure only high-level matters are escalated to the physician. Help document and refine internal processes to optimize clinic efficiency.
Marketing & Growth Execution:
Manage and schedule social media content, design digital and print marketing assets, and track weekly growth KPIs (referrals, patient volume). Support the clinic's networking and outreach efforts.
Patient Experience:
Elevate the practice's reputation through VIP patient concierge initiatives, including managing welcome gifts, thank-you cards, and referral tracking.
Qualifications Rapid Tech Literacy:
Exceptionally fast on a computer, with the ability to quickly master new software, scheduling systems, and communication tools.
High-Level Communication:
Stellar written and verbal communication skills. You can independently draft professional correspondence and speak comfortably with high-profile patients.
Versatile Experience:
A strong background combining executive administrative support with marketing, graphic design, or content creation.
Proactive Operator Mindset:
Proven ability to hit the ground running with minimal supervision, balancing daily administrative tasks with creative, big-picture projects.
Warm & Assertive Interpersonal Skills:
Outgoing and personable with patients and staff, yet comfortable establishing and enforcing polite, firm boundaries to protect the physician's schedule.
Adaptable & Coachable:
Eager to rapidly learn basic clinical triage workflows and adapt to a structured, highly efficient practice model.
Pay:
$26.30 - $31.68 per hour
