$500 Monthly Health Insurance Stipend Executive Assistant - No Legal Experience Required We are seeking an experienced, highly organized Executive Assistant to work directly alongside an established Elder Law attorney in Downtown Tacoma. Legal experience is not required. We are happy to train the right person on the legal side. What is important is having strong, recent professional administrative experience and the ability to confidently support a busy professional. This is an excellent opportunity for someone who takes ownership of their work, anticipates needs, keeps projects moving, and genuinely enjoys being the person who keeps everything organized and on track. This position is 100% in office in Downtown Tacoma, Monday through Friday. Candidates must be able to reliably commute to the office each day. This is not a remote or hybrid position. What You'll Do As the Executive Assistant, you will work closely with the attorney and play an important role in both day-to-day operations and the client experience.
Responsibilities include:
Manage the attorney's calendar, appointments, meetings, and daily priorities Monitor communications and ensure important items receive timely follow-up Coordinate communication with clients, attorneys, court personnel, and outside agencies Maintain highly organized physical and electronic client files Track deadlines, projects, and outstanding action items Assist with preparing and filing legal documents; training will be provided Prepare materials for client meetings, hearings, and other legal proceedings Answer phones and respond professionally and compassionately to client inquiries Assist with billing, invoicing, payment processing, and time tracking Maintain confidentiality when handling sensitive client and legal information Anticipate the attorney's needs and proactively address administrative priorities Take ownership of projects and ensure tasks are followed through to completion Help create an organized, professional, and welcoming experience for clients What We're Looking For We are looking for someone with a strong administrative foundation who is ready to become a trusted right hand to a busy attorney.
Qualifications:
3+ years of recent professional experience as an Executive Assistant, Administrative Assistant, Office Manager, Legal Assistant, or similar administrative professional Experience directly supporting an executive, business owner, attorney, or other busy professional strongly preferred Demonstrated history of reliability, accountability, and professional responsibility Exceptional organizational and time-management skills Strong attention to detail and follow-through Excellent written and verbal communication skills Ability to prioritize multiple projects and deadlines Comfortable working independently and taking initiative Strong critical-thinking and problem-solving abilities Professional judgment and ability to maintain confidentiality Proficiency with Microsoft Office Positive, professional demeanor and a strong client-service mindset Legal experience is NOT required. Experience with Smokeball or vLex is a plus, but not required. The firm is willing to train an exceptional Executive Assistant on legal processes and software. Schedule & Location This is a full-time, Monday-Friday position located in Downtown Tacoma. The workday begins between 9:00 and 9:30 AM . This position requires consistent, reliable, in-person attendance and is not eligible for remote or hybrid work.
