Opportunity Overview:
Executive Administrative Assistant We are seeking a highly experience, proactive Executive Assistant to serve as a strategic partner to the Chief Executive Officer. This role is critical to ensuring leadership effectiveness, organizational alignment, and seamless engagement with senior exeuctivies, board members, and external stakeholders. This is not a traditional administrative role. The ideal candidate anticipates needs, manages complexity, and ensures nothing falls through the cracks. They bring structure to ambiguity, operate with sound judgement, and confidently manage both internal operations and external relationships.ESSENTIAL DUTIES AND RESPONSIBILITIES
Executive Support & Prioritization:
Own and manage complex CEO calendars, ensuring aligment with strategic priorities. Proactively identify conflicts, gaps,a nd opportunities - ensuring leaders are focused on highest inpact work. Prepare leaders for meetings with clear agendas, briefing materials, and follow up actions. Act as a strategic gate-keeper, priotirizing requests and managing time effectively Anticipates needs and identify what is missing or at risk Board & Senior Leadership Engagement Serve as a key liaison to the Board of Directors and Senior leadership team Coordinate board and committee meetings, including agendas, materials, logistics, and minutes Manage ongoing communication and relationships with board members & stakeholders Track and sure follow through on board & executive action items Communications & Content Management Draft, edit, and manage internal and external communications on behalf of the CEO Ensure consistency, clarity, and alignment across all executive messaging Develop high-quality presentations, reports, and executive materials Handle sensitive information with discretion and professionalism. Operational Excellence Build and maintain systems that improve executive effectiveness and organizational flow Maintain electronic and physical filing system with accuracy and accessibility Coordinate cross-functional meetings, projects, and organizational priotiries Support execution of strategic initiatives and organizationl goals Resolve issues proactively and escalate when necessary. Administrative & Organizational Support Manage logistics for meetings, travel, and events Maintain master schedules and coordinate information flow across the organization Serve as a point of contact for internal staff, external partners, and the public Support special projects, programs, and events as needed Answer telephone to provide general information, refer callers to other staff or take messages as necessary. May participate in special programs or events, trainings and/or meetings Oversee day to day office operations to ensure well functioning andn organized work environment, including receiving and dividing mail Prepare and process weekly check deposits in accoracne with organization proceduresRELATIONSHIPS
Internal:
Maintain close, daily contact with President/CEO, COO, CSC staff, and Club staff (professional and volunteer) to coordinate priorities, share information, and ensure alignment.External:
Engage professionally with Board members, community partners, stakeholders, and the public as a representative of the CEO and organization.QUALIFICATIONS KNOWLEDGE, SKILLS, AND ABILITIES
Experience 5-8+ years of experience supporting senior executives (CEO or C-suite preferred) Demonstrated experience working with Boards of Directors and senior stakeholders Experience in a fast-paced, complex organization; nonprofit experience preferred Education Bachelor's degree or equivalent professional experience Skills & Competencies Advanced proficiency in Microsoft Office (PowerPoint, Excel, Word) Exceptional organizational, time management, and prioritization skills Strong written and verbal communication skills High level of discretion, judgment, and professionalism Ability to anticipate needs and operate independently Strong relationship management and interpersonal skills Ability to manage multiple priorities with attention to detail Comfortable navigating ambiguity and driving clarity Experience with donor databases (e.g., Raiser's Edge) preferred Key Attributes for Success Proactive and anticipatory—sees around corners Calm under pressure in a fast-paced environment Highly trustworthy with strong confidentiality standards Solutions-oriented with strong ownership mindset Able to operate at both strategic and tactical levels Confident working with senior leaders and board members What Success Looks Like The CEO is focused on the highest-impact priorities Board and executive interactions are seamless, prepared, and effective Communications are clear, timely, and aligned Systems are organized, efficient, and reliable Nothing critical falls through the cracksHOURS:
