Job Description

Help build something interesting. We are a growing specialty automotive company with bigger ambitions than simply fixing more cars. We operate a successful specialty repair business and are building several related businesses around automotive parts, overlanding, and specialty services. We're at an interesting stage: the opportunity is bigger than our current organizational structure. We're looking for a smart, curious, practical Executive & Operations Assistant who wants to be part of building that structure. This isn't a traditional receptionist or "keep the boss's calendar" job. We're looking for someone who sees a problem and thinks: "I can figure that out." What you'll do You'll work closely with the owner and management team and become an important part of keeping the business moving.
Your responsibilities will include:
Managing follow-ups and keeping commitments from falling through the cracks Maintaining a master list of deadlines, projects and outstanding issues Screening and organizing phone calls, messages and requests Helping manage the owner's calendar and priorities Coordinating with customers, vendors, suppliers and professional advisors Tracking projects from "we need to do this" to "it's done" Preparing information for meetings and management reviews Organizing documents, information and business records Helping coordinate hiring, vendors, contractors and outside professionals Identifying things that need attention before they become emergencies Handling routine matters independently rather than automatically passing them along Helping create and improve systems as the company grows You'll also occasionally get handed something that isn't neatly described in a job description. That's intentional. Some days the question will be: "Can you find out what happened with this?" Other days it might be: "We need to get this project moving. Figure out what needs to happen." We expect you to use judgment. What we're looking for You don't need to have worked as an executive assistant before. In fact, we're more interested in how you think than what your previous job title was. You might be a great fit if you are: Smart and naturally curious Extremely organized without being rigid Practical and resourceful Comfortable figuring things out A good communicator Comfortable talking with customers, vendors and professionals Good at following through Able to prioritize rather than simply react Comfortable learning new software and systems Able to work independently Someone who notices details without losing sight of the big picture Comfortable telling the owner, "I don't think that's the best way to do that." We're particularly interested in someone who enjoys making things work better. The personality we're after We're not looking for a corporate robot. We're looking for an operator . Someone who can move comfortably between a spreadsheet, a phone call, a customer problem, a vendor, a project deadline and a completely unexpected problem. You should be the kind of person who gets satisfaction from taking a messy situation and making it orderly. You don't need to know cars. You do need to be willing to learn. $52,066.35 - $62,703.56 per year
