Job Overview We are seeking a dynamic and highly organized Executive Assistant to join our team! This vital role offers the opportunity to support senior leadership by managing a wide range of administrative and operational tasks with energy, precision, and professionalism. Responsibilities Manage complex calendars, schedule meetings, and coordinate appointments for executives with efficiency and attention to detail. Handle incoming calls using multi-line phone systems, directing inquiries professionally and courteously while maintaining excellent phone etiquette. Prepare, proofread, and format documents using Microsoft Office Suite, Google Workspace, and other productivity software to ensure clarity and accuracy. Maintain organized filing systems—both digital and physical—and perform data entry tasks with precision using spreadsheets and database tools like QuickBooks. Assist with office management duties such as supply ordering, facility coordination, and overseeing clerical processes to ensure smooth daily operations. Provide exceptional customer service by supporting client communication efforts, managing front desk responsibilities, and handling customer support inquiries efficiently. Support bookkeeping activities including invoicing, expense tracking, and basic financial record keeping to assist with overall office financial health. Skills Proven experience in office management or administrative roles with strong organizational skills. Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Docs, Sheets), and familiarity with productivity software. Excellent computer literacy including data entry, file management, proofreading, and technical proficiency across various platforms. Strong communication skills—both verbal and written—with the ability to handle phone communication professionally across multi-line phone systems. Bilingual abilities are highly desirable to effectively serve diverse clients and team members. Experience with QuickBooks or similar bookkeeping software is preferred for financial tasks. Demonstrated ability to prioritize tasks efficiently using time management techniques in a fast-paced environment. Previous experience as a personal assistant or medical/dental receptionist is advantageous for understanding specialized client needs.
