Job Summary

The File Digitization Clerk provides short-term, clerical support to the Human Resources team by converting paper employee files into electronic records. This role focuses on scanning, organizing, and uploading documents while following established procedures for accuracy, confidentiality, and data privacy. Key Responsibilities Scan paper employee files into electronic format.

Label and organize digital files using standard naming conventions.

Upload scanned documents to shared drives and designated folders.

Attach documents to employee records in the Workday system, as directed.

Perform basic quality checks to ensure documents are clear and complete.

Maintain confidentiality of sensitive employee information at all times.

Assist with general clerical tasks such as filing, data entry, and document sorting.

Alert supervisor to missing, unclear, or incomplete documents. Qualifications High school diploma or equivalent required.

Prior clerical, filing, or data entry experience preferred but not required.

Comfortable using scanners, copiers, and basic computer applications.

Basic knowledge of Microsoft Office (Word, Excel, Outlook).

Ability to follow instructions and work in a structured environment.

Strong attention to detail and reliability.

Ability to handle confidential information appropriately. Working Conditions Office-based role using scanning equipment and computers.

Repetitive tasks and prolonged periods of sitting.

May require lifting and moving file boxes up to 25 lbs.
