Job Description
The Records/File Clerk is responsible for organizing, maintaining, and securing employee personnel files while ensuring compliance with established filing procedures and confidentiality requirements. This role involves reviewing, filing, labeling, and archiving employee records, maintaining accurate inventory logs in Excel, and preparing inactive files for offsite storage. The ideal candidate is highly organized, detail-oriented, able to work independently, and comfortable performing physical filing tasks. Key Responsibilities Organize, maintain, and secure physical employee records. Review and file employee documents into existing folders. Verify folders are organized according to Standard Operating Procedures (SOPs). File records in numerical order using employee ID badge numbers. Create and label new employee folders as needed. Identify and remove inactive employee files using provided information. Prepare inactive files for offsite storage by organizing and boxing records. Maintain an inventory of archived files using Microsoft Excel. Ensure strict confidentiality and compliance with data protection policies. Perform additional clerical and records management duties as assigned. Required Qualifications Previous experience in document management, records management, library science, or clerical/administrative support. Strong organizational skills with excellent attention to detail. Ability to sort and file records alphabetically, numerically, and chronologically. Experience maintaining confidential information with integrity and discretion. Proficiency with Microsoft Excel for data entry and tracking. Ability to work independently and manage large filing projects. Physical ability to lift boxes, access file cabinets, and perform repetitive filing tasks.
