Job Description:
The primary objective of this position is to provide temporary clerical and administrative support to the Human Resources office by maintaining accurate and confidential personnel records, organizing and filing employment documentation promptly and accurately, assisting with routine records management and document retrieval in support of HR operations and compliance requirements.
Responsibilities and Duties:
Maintain personnel records by printing, organizing, and filing employment documentation in designated personnel, medical, and confidential files. Documentation may include appointment and reappointment letters; new-hire, benefits, leave, and separation records; salary change documentation; evaluations; job descriptions; transcripts; training certificates; Personnel Action Forms (PAFs); verification of employment records; and other employment-related documents. Create, update, and maintain personnel files, ensuring proper labeling, organization, and confidentiality of employee records. Retrieve and route files for HR staff, auditors, and employees following appropriate identity verification procedures and maintain file access logs. Ensure transfer of all personnel and medical files from active to inactive/terminated cabinet promptly upon receiving notice of an employee's separation from service. Create employee identification badges and distribute via interoffice mail.
Maintain new-hire onboarding benefit packets:
prepare and stock folders, print/copy required forms and materials, and ensure contents are current and ready for distribution. Assist HR staff with printing, copying, scanning, and organizing documents related to personnel records and departmental materials. Retrieve daily mail, distribute to appropriate staff, scan or digitally distribute and/or save as required. All other duties as assigned
Requirements:
A high school diploma or equivalency and two (2) years of full-time, or equivalent part-time experience in clerical work, records management, or office administration.
Preferred Qualifications:
Prior experience working in a Human Resources office or a highly confidential environment
