In this vital administrative role, you will manage and maintain accurate filing systems, ensure the proper documentation of administrative records, and support the smooth operation of the department. Your proactive approach and excellent organizational skills will help streamline processes, facilitate good customer service, and uphold the integrity of our records. This position offers an exciting opportunity to develop your administrative skills within a fast-paced environment committed to excellence. Duties Open, sort and distribute mail Assist with mass mailings Perform data entry (address changes, direct deposit changes, etc.) Scan in documents and correspondence Prepare routine and other general correspondence Answer/transfer phone calls to the appropriate person Operate high-volume office automation equipment, such as high-speed copiers, folding machines, inserting machines, mail machines and envelope printers. Organize, file, and retrieve documents/correspondence with precision and efficiency Maintain accurate filing systems both physically and electronically, ensuring easy access and security of sensitive information Conduct regular audits of files to ensure completeness, accuracy, and compliance with organizational standards Respond to internal requests for document retrieval promptly and professionally Qualifications Excellent verbal and written communication skills Working knowledge of Microsoft Windows, Microsoft Office, Word/Excel mail merge, UPS World Ship and other office-related programs a plus. Familarity with computer file systems Previous experience with office automation equipment a plus Strong analysis skills to review documents for accuracy and completeness Proven administrative experience with excellent organizational skills Inter-office experience of at least six months preferred Knowledge of filing procedures, both physical and electronic systems Customer service orientation to effectively support internal teams and external contacts Must be able to work and stand for extended periods of time Must be able to lift up to 25 pounds consistently and for extended periods of time High School diploma or GED required
