Legal Secretary - Onsite- 5 days/week Irvine, CA Tucker Ellis LLP is seeking an experienced Legal Secretary with light Administrative & Front Desk Duties to join our Irvine office. This position is fully onsite, five days per week, and will provide legal secretarial, administrative, and front desk support to attorneys, paralegals, and the office as a whole. The ideal candidate is a professional, highly organized team player with strong legal secretarial experience who is comfortable balancing attorney support with front desk and general office responsibilities. This position requires someone who can work independently, manage shifting priorities, and provide a welcoming and professional experience for clients, visitors, attorneys, and staff. Key Responsibilities Provide legal secretarial and administrative support to attorneys and paralegals as needed. Prepare, edit, proofread, and finalize legal documents, correspondence, pleadings, motions, discovery, and other litigation-related materials. Assist with document production, formatting, bookmarking, and document styling in Microsoft Word. Manage court filings, including ECF filings and other electronic filing procedures. Assist with preparing tables of contents and tables of authorities. Enter attorney time and assist with expense reports and invoices submitted to Accounts Payable. Serve as the primary front desk presence for the Irvine office, greeting clients, visitors, and guests in a professional and welcoming manner. Answer and direct incoming telephone calls and assist with general inquiries. Coordinate and reserve conference rooms and assist with meeting and visitor arrangements. Receive, sort, and distribute incoming mail, deliveries, and packages. Monitor office supplies and coordinate ordering and restocking as needed. Assist with general office administrative duties and provide coverage for office needs as requested. Maintain effective communication with attorneys, paralegals, and staff to ensure timely and accurate work product. Provide additional administrative and clerical support to the office as needed. Key Qualifications Minimum of five years of legal secretarial experience, preferably in a law firm environment. Litigation experience strongly preferred. Knowledge of California and Federal court procedures and filing requirements. Experience with electronic court filings and litigation support procedures. Advanced proficiency in Microsoft Word, including document formatting, bookmarking, tables of contents, and tables of authorities. Experience with attorney time entry, expense reports, and invoices is preferred. Strong organizational skills and attention to detail with the ability to manage multiple priorities. Excellent written and verbal communication skills. Professional, polished, and client-service-oriented demeanor. Ability to work collaboratively with attorneys, paralegals, and administrative staff. Comfortable performing both legal secretarial and front desk/administrative responsibilities. Ability to work on site in the Irvine office five days per week.
