Job Description

The United States Attorney's Office (USAO) for the Eastern District of California has contracted Analytic Acquisitions to fill the position of Legal Administrative Specialist. We are a government contractor.

REQUIREMENTS
Ability to multi-task, is organized, and possesses detail-oriented skills. At least six months of experience in a similar environment. Be able to type at a minimum of 40 words per minute with good punctuation, spelling, and grammar skills. Be able to use relevant software used by the USAO with basic knowledge of Microsoft Word and Microsoft Excel. Statement of Services:
Regularly input new case information into the case management system. The system is a database with on-line capabilities to compile, maintain, and track information relating to, defendants, participants, civil litigation, criminal charges, court events, and case disposition. Receive and review case files for closing. Ensure case files have been purged, are complete, and are organized. Verify electronic case folder exists and appropriately moves all case records to the electronic archive. Assemble all electronic media from the case file if it exists and stores it locally for easy reference and retrieval. Determine retention of case files based on retention schedules in effect and coordinates shipments to the Federal Records Center. Update and maintain automated records for the criminal or civil case workload, from initial referral to final disposition to include data entry and gathering and organizing paper documents to scan and upload into the system. Determine incoming cases or legal actions requiring special handling, e.g., civil cause of actions, criminal program category, and make the appropriate referral prior to coding and data entry. Providing missing information frequently requires technical research in files or legal reference material. Assist with the periodic case certification process. Work with attorneys to verify case information. Perform necessary research to correct and update the database. Receive telephone calls on case status from client agencies, the courts, employees within the office, city, county, and state law offices, private attorneys and individuals. Information is retrieved either from the automated database using query routines, or from hard copy reports. Exercise tact, discretion, and judgment in determining what information may properly be released. Receive and review case files for closing. Prepare boxes weighing up to 40 lbs to send to archives. Prepare and ship documents to file with closed cases located at the FRC.
Reception and Mail:
Based on the needs of the office, occasionally serve as backup in the reception and mail areas and screen telephone calls and walk-in visitors to the office. Announce calls and visitors to an appropriate staff member or an appropriate office. Take complete and accurate messages and timely forward to the appropriate person. Screen visitors and telephone calls to determine the purpose of call or visit. Answer questions of a general nature and refer callers to appropriate parties. Sort and route mail by determining subject matter and organization designation. Record, control, and process mail which requires special handling, e.g., registered, certified, classified, etc. Obtain receipt signatures. Prepare outgoing material for dispatching to include date stamping, metering or canceling, bundling and bagging mail according to regulations, and wrapping bulk mail. Collect and/or deliver grand jury and unclassified mail and material to individuals or offices.
