In this vital role, you will be the backbone of our daily operations, ensuring the smooth functioning of office management, administrative support to our attorneys and paralegals, and customer service. Your energetic approach and attention to detail will help create an efficient, welcoming environment for both staff and visitors. This position offers an exciting opportunity to develop your skills in office administration while contributing to a vibrant workplace culture. Responsibilities Organize and maintain electronic case files, save and file documents in our case management software, routing all case files to litigation team, all while adhering to best practices in document management. Assist with the conference rooms set up for various legal proceedings, including client meetings, attorney strategy meetings, and depositions, ensuring that all necessary equipment and materials are prepared in accordance with the specific requirements of each meeting. This includes arranging IT set-up, preparing presentation tools, and ensuring that all relevant legal documents are readily accessible if applicable. Copying, scanning, and document organization projects as assigned, such as preparing trial binders, arbitration binders, tabbing, exhibit organization projects. Manage front desk operations, greeting visitors and directing phone calls with professionalism and courtesy using multi-line phone systems. Oversee office supplies inventory, place orders, and maintain filing systems to ensure seamless administrative workflows. Coordinate office maintenance and liaise with vendors to ensure a clean, safe, and organized environment. Perform clerical duties including word processing, document preparation, and managing correspondence with strong attention to detail. Requirements Must have familiarity with legal terminology and document management systems. Proven experience in office management or administrative roles with a focus on clerical support. Strong computer skills including proficiency in Microsoft Office (Word, Excel), spreadsheets, data entry, and general computer literacy. Excellent organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment. Effective phone communication skills coupled with proper phone etiquette for front desk interactions. Bilingual abilities are highly desirable to support diverse client communication needs. Demonstrated ability to handle multiple responsibilities simultaneously while maintaining accuracy and professionalism.
