This position is responsible for managing and maintaining the firm's calendar and coordinating all scheduling matters related to hearings, mediations, depositions, conferences, and client appointments. Some legal drafting is also required. The ideal candidate is organized, dependable, and proactive. Accuracy and attention to detail are essential, as this position plays an important role in ensuring that the firm's attorney is properly prepared and scheduled for all upcoming matters.
Responsibilities:
Maintain and manage the firm's master calendar for all litigation-related matters. Schedule and coordinate court hearings, mediations, depositions, conferences, and other legal proceedings . Coordinate schedules among the attorney, clients, opposing counsel, court personnel, mediators, court reporters, videographers, and other legal professionals. Monitor upcoming hearings, deadlines, depositions, mediations, and other important dates. Ensure all calendar entries are accurate, complete, and updated promptly when schedules change. Communicate scheduling changes and upcoming events to attorney and appropriate staff. Track and follow up on scheduling confirmations and outstanding calendar-related matters. Prepare Notices of Hearing after coordinating and setting hearings. Know how to use the E-portal, CourtMap, and CMS for scheduling hearings and filing notices. Review court notices, orders, correspondence, and other documents for dates and deadlines that need to be added to the firm calendar. Help prevent scheduling conflicts by maintaining an accurate and up-to-date calendar. Coordinate rescheduling and cancellations when necessary. Maintain organized records relating to scheduled hearings, depositions, mediations, and other proceedings. Work closely with attorney and legal support staff to ensure all calendar and scheduling needs are handled efficiently. Assist with other administrative and litigation-support duties as needed. Qualifications Previous experience in a law firm or legal environment required. Experience with litigation scheduling, legal calendaring, docketing, or case management required. Strong organizational and time-management skills. Exceptional attention to detail and accuracy. Ability to manage multiple deadlines and competing priorities. Excellent written and verbal communication skills. Ability to communicate professionally with attorneys, courts, opposing counsel, clients, and outside vendors. Strong follow-through and the ability to anticipate scheduling issues before they become problems. Proficiency with Microsoft Office and common computer applications. Experience with legal billing and case-management software is a plus. Ability to work independently while also functioning effectively as part of a team. You should be comfortable working in a fast-paced legal environment and able to keep track of numerous dates and moving pieces at once. This is an important position within the firm, and we are looking for someone who is dependable, proactive, professional, and takes pride in maintaining an accurate and well-organized litigation calendar. Experience with litigation calendars, court scheduling, hearings, depositions, and mediations a must.
Pay:
$48,000.00 - $58,000.00 per year
