Job Description

Job Summary The Personal Injury Litigation Assistant provides administrative and litigation support to attorneys throughout all stages of personal injury cases. This position is responsible for managing case files, preparing legal documents, coordinating discovery, maintaining communication with clients and opposing counsel, scheduling depositions and hearings, and ensuring deadlines are met. The ideal candidate is highly organized, detail-oriented, and able to manage multiple cases in a fast-paced legal environment. Responsibilities Case Management Manage a high-volume personal injury litigation caseload from filing through settlement or trial. Maintain electronic and physical case files. Monitor litigation deadlines and court calendars. Track statutes of limitation and court scheduling orders. Organize medical records, bills, discovery, and litigation documents.
Litigation Support Draft and prepare:
Complaints Summons Answers Notices Motions Discovery requests and responses Subpoenas Trial exhibits and binders File pleadings electronically through state and federal court e-filing systems. Coordinate service of process. Assist attorneys with trial preparation.
Discovery Prepare and organize:
Interrogatories Requests for Production Requests for Admissions Review incoming discovery for completeness. Coordinate document production. Track discovery deadlines. Client Communication Serve as the primary point of contact for clients regarding case updates. Schedule client meetings and attorney conferences. Request and obtain medical records and billing statements. Maintain regular communication with insurance adjusters, medical providers, and expert witnesses.
Scheduling Schedule:
Depositions Mediations Hearings Independent Medical Examinations (IMEs) Expert evaluations Coordinate attorney calendars. Trial Preparation Prepare trial notebooks and exhibit lists. Coordinate witness appearances. Organize exhibits and evidence. Assist attorneys during mediation and trial. Administrative Duties Answer incoming calls professionally. Maintain accurate case notes in the case management system. Process incoming and outgoing mail. Prepare correspondence. Maintain confidentiality of all client information. Knowledge of civil litigation procedures. Required Skills Knowledge of civil litigation procedures. Excellent written and verbal communication. Strong organizational and multitasking abilities. Ability to prioritize multiple deadlines. High attention to detail. Professional demeanor with clients and opposing counsel. Ability to work independently and collaboratively. Familiarity with court rules and filing deadlines. Experience with electronic court filing (E-Filing Portal). Proficiency in Microsoft Office Suite (Word, Excel, Outlook). Experience with legal case management software such as: Needles Clio Filevine SmartAdvocate Litify (preferred but not required) Knowledge of civil litigation procedures. Familiarity with court rules and filing deadlines. Experience with electronic court filing (E-Filing Portal). Proficiency in Microsoft Office Suite (Word, Excel, Outlook). Experience with legal case management software such as: Needles Clio Filevine SmartAdvocate Litify (preferred but not required) Required Skills Excellent written and verbal communication.
