Responsibilities:
Administrative Support:
Provide comprehensive assistance to one Partner.
Client & Calendar Coordination:
Communicate directly with clients, schedule appointments, prepare for meetings, arrange Notary Public services for signings, and meticulously maintain calendars.
Document Preparation:
Transcribe, draft, and proofread professional correspondence and legal client documents. Prepare estate planning document drafts such as Power of Attorney, Power of Attorney Revocation, Advance Directives, HIPPAA Authorization and Guardians Designation.
Court Coordination:
Coordinate directly with courts to schedule critical hearings, depositions, mediations, and other important court dates.
Time & Billing Management:
Enter Attorney billable time daily and assist with monthly client billing processes.
Case Assistance:
Help prepare discovery materials, legal research, docketing, and general case/trial management.
Working hours:
8:00 AM - 5:30
PM Skills:
A Business Administration degree is highly preferred. Prior hands-on experience working specifically within Litigation and/or Real Estate practice areas.

Qualifications:
Proven proficiency in Microsoft Office, Outlook, Adobe Acrobat, and legal billing software like Aderant and/or Time Expert. Experience with Trust and Estate. Deep knowledge of Florida courts, judicial procedures, e-portal systems, and the CSC e-recording platform. Exceptional organizational skills, sharp attention to detail, and the ability to multitask effectively under pressure. Strong ethical foundation with a strict commitment to maintaining total client confidentiality. Flexibility to work a standard 40-hour workweek with the availability to work overtime when requested.
