Job Description

Position Overview A small, established personal injury and estate planning law firm in downtown Stuart is seeking a friendly, organized, and dependable Front Desk Administrator to join our team. This position is the first point of contact for many of our clients and prospective clients and plays an important role in keeping our office organized and running efficiently. The position combines front desk responsibilities, client communication, general administrative work, and support for our legal team. We are looking for someone who enjoys working with people, pays close attention to details, takes initiative, and can comfortably manage a variety of responsibilities throughout the day. What You'll Do Responsibilities will include: Answer incoming telephone calls and direct or assist callers as appropriate Welcome clients and visitors to the office and maintain an organized, professional reception area Schedule and coordinate client appointments Gather preliminary information from prospective new clients and assist with the firm's intake process Communicate with existing clients by telephone, email, and correspondence Scan, copy, organize, and maintain documents and electronic files Assist with creating, opening, maintaining client files Process incoming and outgoing mail and other correspondence Prepare routine letters, forms, and other documents Request and follow up on medical records and billing statements Obtain lien information and related documentation when needed Order crash reports and other records related to client matters Request insurance coverage and claim information Assist attorneys and staff with other administrative and case-related tasks as needed What We're Looking For The right candidate will be: Extremely organized and attentive to detail Efficient and able to follow through on assigned tasks Friendly, professional, articulate, and comfortable communicating with clients Positive, energetic, and pleasant to work with Able to manage several responsibilities and deadlines at the same time Comfortable working independently and taking initiative Proficient with computers and able to learn new software and technology Strong in written and verbal communication Proficient in speaking, reading, and writing English Prior law office experience is preferred, particularly experience with a personal injury practice, but we will consider candidates with strong administrative and client-service backgrounds.
