Hankin & Pack is seeking a detail-oriented Seller Representation Coordinator to join our Charlotte office. This role sits at the center of our seller representation workflow, managing client-facing communications throughout the transaction and handling the preparation and distribution of seller closing packages. You'll work closely with our file opening, document drafting, and closing teams to ensure sellers have a smooth, well-communicated experience from contract to closing. What You'll Do:
Seller Communications Serve as the primary point of contact for sellers and buyer attorney office throughout the transaction, keeping them informed at each milestone Respond promptly and professionally to seller inquiries via phone and email Coordinate with the document drafting team to relay status updates and gather information needed from sellers Flag issues or delays proactively to the appropriate internal team members Maintain clear, accurate notes on all seller interactions Seller Package Management Prepare and assemble seller closing packages in accordance with firm standards Send out seller packages from the Charlotte office in a timely manner ahead of closing Track package status and confirm receipt with sellers and other parties as needed Ensure packages are complete, accurate, and compliant with firm and lender requirements Coordinate with the closing team on any last-minute changes or corrections Process & Coordination Work within our closing software (Qualia) to log communications and track file status Partner with file opening, drafting, and closing staff across offices to keep transactions moving Identify opportunities to improve seller communication or package workflows and share feedback with management What You'll need: 2+ years of real estate closing experience with a law firm, title or lending company Knowledge of residential real estate contracts, closing procedures, and settlement statements Excellent written and verbal communication skills, with a client-service mindset Strong organizational skills and comfort managing multiple files/deadlines simultaneously Experience with Qualia or similar title/closing software a plus Ability to work independently while collaborating across multiple office locations High attention to detail, particularly around document accuracy and deadlines Must have strong computer skills and proficiency with Microsoft Office Suite High school diploma
