Key Responsibilities:
- Serve as the first point of contact for the firm , greeting clients and visitors and maintaining a professional, welcoming front-office environment.
- Answer and route incoming telephone calls , take detailed messages, and ensure time-sensitive communications are promptly directed to the appropriate attorney or staff member.
- Assist with prospective client intake , including gathering initial information, completing intake forms, scheduling consultations, and entering information into the firm's case-management system.
- Maintain client and matter files in Clio Manage , including uploading and organizing documents, entering matter notes, updating contact information, and ensuring files remain accurate and current.
- Assist attorneys and paralegals with preparation, proofreading, scanning, copying, and organization of legal documents and correspondence.
- Manage attorney calendars and scheduling , including client meetings, consultations, court dates, deadlines, and internal appointments.
- Assist with court filings and administrative submissions under the direction and supervision of attorneys and paralegals.
- Process incoming and outgoing mail and deliveries , including certified mail and other time-sensitive legal correspondence.
- Communicate professionally with clients, courts, opposing counsel, vendors, and other third parties while maintaining appropriate boundaries regarding legal advice.
- Provide general administrative and operational support to attorneys and staff, including scanning, filing, data entry, supply management, and other day-to-day office needs.
- Assist with special projects and other duties as assigned based on the needs of the firm.
- Maintain strict confidentiality regarding client information, firm records, and all privileged or sensitive communications.
Qualifications:
✅ Associate's or Bachelor's degree (preferred, not required) ✅ 2+ years of experience in litigation (family law or civil litigation preferred) ✅ Familiarity with NC court procedures and local filing rules ✅ Strong organizational and communication skills ✅ Proficiency in Microsoft Office, Adobe Acrobat, and legal research tools Bonus Skills (Not Required) : Experience with Clio and Box Mediation or trial support background Notary Public commission or willingness to become a
