Roles & Responsibilities:
Files legal documents with various courts and agencies, accomplishes service of documents and correspondence upon adversaries and various state agencies and maintains proof of same. Opens, dockets and maintains confidential, case, subject, follow-up and other legal records and files in electronic and/or paper form. Purges files upon completion and prepares files for closing and retention. Acts as a receptionist for department, screening telephone calls, mail, and/or visitors. Ensures transmittal of messages (either manually or electronically) and ensures correspondence is logged and routed appropriately and given the warranted attention and follow up. Schedules appointments and coordinates arrangements for meetings and conferences. Maintains calendar(s) of appointments, leaves and whereabouts of office staff. Prepares routine letters, presentations, memoranda and reports of a legal and/or confidential nature for supervisor's review by gathering and summarizing data, typing, proofreading, copying and disseminating same. Prepares complex legal documents from handwritten notes or dictation equipment, utilizing a personal computer and various types of automation software. Contributes to the department's goals of providing legal services by assisting paralegals and other clerical staff in the performance of their duties as requested.Education, Experience and Qualifications:
High school diploma or equivalent, and two years of applied legal secretarial experienceKnowledge and Skills:
Proficiency in using MS Office software, such as Access, Word, Outlook, Excel, and Teams are required. Proficient typing and proofreading skills are requiredCertificates, Licenses, Registrations:
