Job Overview The Law Office of Gregory K. Lind, a Springfield-based practice concentrating in family law, juvenile custody, probate, and criminal matters, is seeking an energetic and detail-oriented Legal Secretary/Receptionist to join our firm as soon as possible. This role is also open as a paid internship, with the possibility of hire upon completion of a six-month internship. This vital role combines front-desk reception duties with comprehensive legal and administrative support, ensuring smooth office operations and exceptional client service. The ideal candidate is proactive and organized, possesses a basic understanding of legal terminology, and communicates easily and effectively with the firm's clients. This paid position and/or internship offers an exciting opportunity to develop your legal support skills, communication and marketing communication abilities, and professional office experience while contributing to a collaborative and professional environment of legal professionals. Duties Front Desk & Client Service Greet clients and visitors warmly, managing front-desk operations with professionalism and courtesy Answer multi-line phone systems promptly — including calls from courts, government offices, and clients — directing calls efficiently, taking detailed and accurate messages, and maintaining confidentiality in accordance with firm guidelines Prepare new client forms and ensure consultation payments are taken and recorded properly Calendar & Scheduling Management Coordinate all firm client meetings, new client intakes, court hearings, trial dates, and case deadlines Maintain organized calendars for the firm's attorneys and paralegals Proactively identify and help resolve scheduling conflicts Case & Document Management Manage recording, scanning, and organization of email and paper case files for legal documents using document management systems such as MyCase, LexisNexis, and Microsoft 365, ensuring accurate filing and retrieval Assist with legal research using Westlaw, LexisNexis, and other resources to support the attorneys' and paralegals' case preparation for court hearings and trials Prepare and draft basic legal filings, and assign case tasks to firm paralegals and attorneys Process incoming and outgoing mail, including court-related correspondence Handle confidential information discreetly while supporting the firm's practice areas of family law, juvenile custody, probate, and criminal matters Qualifications High school diploma required; bachelor's or associate degree, or current enrollment toward a secondary degree, preferred Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook) and legal research tools such as Westlaw, LexisNexis, and/or MyCase Excellent organizational skills, with the ability to manage multiple priorities efficiently Exceptional written and verbal communication skills, with keen attention to detail for proofreading and a professional writing standard at all times Experience with legal case management software and document review processes Demonstrated ability to handle confidential information responsibly while providing executive administrative support when needed Strong phone etiquette combined with professional interpersonal skills for client communication and interviewing support Ability to remain composed and work well under pressure in a fast-paced office Prior clerical or administrative experience, preferably in a law office setting, is highly desirable You May Be the Right Fit If You Consistently put the client first Enjoy working with people and can put clients at ease Stay organized and on top of the details Thrive in a fast-paced, collaborative, in-office environment Take pride in your work and follow through Communicate clearly, confidently, and professionally Are dependable, proactive, and solution-oriented Are eager to grow your legal administrative expertise Take pride in helping clients move toward clarity, stability, and peace of mind About the Firm The Law Office of Gregory K.
