The ideal candidate will be comfortable working in a fast-paced environment, interacting with clients from diverse backgrounds, managing priorities, and handling a wide range of administrative responsibilities. Excellent customer service, professionalism, flexibility, discretion, and the ability to communicate fluently in both English and Spanish are essential. Cape Verdean Creole and/or Portuguese language skills are strongly preferred. This position requires regular interaction with clients and attorneys and is well suited for someone who takes pride in being reliable, helpful, organized, and professional. The successful candidate should be willing to learn, take initiative within the scope of assigned responsibilities, and adjust to the changing needs of a small law office. Duties Answer, screen, and route incoming telephone calls professionally and courteously; take accurate messages and assist callers when appropriate. Greet clients, prospective clients, interpreters, vendors, and other visitors and provide a professional and welcoming front-office experience. Schedule and confirm client appointments, consultations, attorney meetings, court appearances, deadlines, and other calendar matters. Maintain attorney calendars and assist with tracking appointments, hearings, filing deadlines, and other time-sensitive matters. Communicate with clients by telephone, email, text, and in person regarding scheduling, document requests, routine case updates, and other administrative matters as directed. Assist with new-client intake, including gathering basic information, scheduling consultations, opening files, and ensuring required intake materials are received. Create, organize, maintain, scan, upload, and retrieve electronic and physical client files. Receive, sort, distribute, scan, and process incoming and outgoing mail and deliveries. Maintain accurate information in the firm's case-management system and other office systems. and various other secretarial work. Required Qualifications Fluency in English and Spanish, including the ability to communicate professionally with clients in both languages. Excellent customer-service and interpersonal skills. Professional, courteous, patient, and respectful communication style, including when working with clients who may be stressed or dealing with difficult circumstances. Strong organizational skills and attention to detail. Dependability, punctuality, and consistent attendance. Ability to manage multiple tasks, prioritize work, and adapt when priorities change. Flexibility and willingness to assist with a variety of office needs. Ability to handle confidential and sensitive information appropriately. Comfort using computers, email, calendars, Microsoft Office or similar applications, scanners, printers, and electronic document-management systems. Ability to follow instructions, ask appropriate questions, and work both independently and collaboratively. Preferred Qualifications Fluency or proficiency in Cape Verdean Kriol and/or Portuguese. Prior experience in a law office, professional office, customer-service position, or administrative role. Experience with legal case-management software or electronic filing systems. Familiarity with immigration, family, criminal, or traffic matters is helpful but not required.
