The ideal candidate is proactive, adaptable, and capable of managing multiple priorities in a fast-paced legal environment while maintaining professionalism and exceptional client service. Key Responsibilities Assist attorneys with the drafting, preparation, and review of transactional legal documents Support loan document preparation, due diligence, and related legal research Prepare, file, and manage UCC Financing Statements and related documentation Utilize the Texas Secretary of State's website to retrieve corporate filings, entity information, and business records Maintain familiarity with corporate governance and business entity documents Coordinate and assist with transactional closings and closing document organization Prepare and maintain electronic and physical matter files and closing books Manage attorney calendars, deadlines, scheduling, and follow-up tasks Track and monitor critical deadlines across multiple matters Conduct general legal and factual research as requested Assist with document management, filing, and records organization Perform time entry, billing support, and other administrative tasks as needed Communicate professionally with clients, title companies, lenders, and other parties involved in transactions Adapt quickly to changing rules, regulations, and firm procedures Provide administrative and legal support in a collaborative team environment Preferred Skills & Qualifications Minimum of 5 years of experience as a paralegal or legal secretary required Strong preference for candidates with a paralegal certification and/or an associate's or bachelor's degree Strong knowledge of business and corporate legal documents Familiarity with transactional and commercial legal matters Experience preparing and filing UCC Financing Statements Proficiency navigating the Texas Secretary of State's online systems Proficiency with Microsoft Office Suite, including Word, Excel, and Outlook Familiarity with legal case management and document management software Excellent organizational and time management skills Strong written and verbal communication skills Ability to manage multiple projects and deadlines simultaneously Professional client service and interpersonal skills Strong typing and computer proficiency Ability to work independently while remaining team-oriented Eagerness to learn and grow within a legal environment Adaptability and strong attention to detail in a fast-paced setting Ideal Candidate Traits Highly organized and dependable Precise attention to detail Proactive and resourceful Professional under pressure Strong critical-thinking and problem-solving skills Positive attitude with a willingness to take initiative Ability to prioritize effectively and maintain accuracy in a high-volume environment
