This position is reserved for someone with high attention to detail. We are looking for someone with scheduling experience. Please complete the questionnaire or you will not be considered. Davidson Law Group is a thriving law firm with offices in Tyler, Fort Worth, Allen, and Keller/Southlake Texas, practicing in the areas of estate planning, probate and elder law. This position would be located in the Fort Worth office. We are a firm dedicated to excellence and making tangible differences in the lives of our employees and clients. Duties and Responsibilities (including but not limited to): Field incoming calls, online submissions, emails, voicemails, and other inquiries, routing communications to the appropriate attorney or staff member. Schedule appointments for all attorneys according to established block schedules while managing attorney calendars and coordinating scheduling changes. Create contact records for new and prospective clients, send intake questionnaires, and receive, organize, and maintain client information. Keep thorough and accurate notes pertaining to scheduled appointments and client communications. Send appointment confirmations, reminders, Zoom meeting invitations, and follow-up communications using scheduling software. Conduct appointment confirmation calls and manage scheduling tickets for assigned attorneys to ensure calendar accuracy. Prepare, reserve, and maintain conference rooms for in-person and virtual meetings. Interface professionally with clients, attorneys, paralegals, and other necessary parties to provide exceptional client service. Perform location-specific facility management, including maintaining the reception area, conference rooms, break areas, restrooms, coffee stations, and office supplies. Assist with event preparation, including printing materials, room setup, and hospitality arrangements. Collaborate with fellow front desk coordinators to ensure continuous client service during high call volumes and busy office periods. Perform miscellaneous administrative tasks necessary to support attorneys, paralegals, and the Director(s) of Operations. Maintain a professional, organized, and welcoming office environment while demonstrating initiative, teamwork, and exceptional attention to detail.
Education :
High school diploma required 30+ hours of college credit or 2 years administrative experience preferred Experience / Skills (Required): Relevant experience in client care and interfacing Articulate, clear phone presence Calendar management skills Ability to solve problems, take initiative, and wisely self-manage projects Capable of learning new software programs Proficient in writing, grammar, semantics, and typing High attention to detail and strong organizational skills Knowledge in Microsoft Office and Google platform suites Ability to prioritize amidst changing circumstances
