Job Description
Overview We are seeking a highly organized and proactive Real Estate Transaction Coordinator to join our top-performing team. In this vital role, you will manage the entire transaction process from contract to closing, ensuring a smooth and efficient experience for clients, agents, lenders, and escrow officers. Your attention to detail, excellent communication skills, and ability to juggle multiple tasks will help facilitate successful real estate transactions. This position offers an exciting opportunity to be at the heart of the real estate process, supporting agents and clients every step of the way with enthusiasm and professionalism. Duties Coordinate all aspects of real estate transactions, including preparing and reviewing contracts, disclosures, and other legal documents to ensure accuracy and compliance. Maintain open communication with clients, agents, lenders, escrow officers, and title companies to facilitate timely progress on each transaction. Manage calendar appointments, deadlines, and key dates to keep transactions on track. Handle data entry tasks with precision—updating transaction files, maintaining digital records, and managing client databases. Provide exceptional customer support by providing timely & professional responses. Assist with clerical duties such as filing documents, proofreading contracts for accuracy, and managing correspondence to ensure all paperwork is complete and organized. Support office management activities including scheduling appointments, managing office supplies. Qualifications Active Utah Real Estate License required . Candidates without a current license will not be considered. Strong computer literacy with proficiency in Google Workspace (Gmail, Calendar, etc.), familiarity with data entry software, and CRM software. Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment. Exceptional communication skills—bilingual abilities are a plus—and strong communication etiquette for handling customer inquiries. Detail-oriented with keen proofreading skills to ensure accuracy in contracts and legal documents. Previous clerical experience including filing, data entry, calendar management, and proofreading is essential. Ability to handle multiple responsibilities efficiently while maintaining a positive attitude; experience supporting personal assistant tasks or office reception duties is advantageous.
